About the Role | As the Client Relations Executive Assistant, you’ll serve as the primary liaison for assigned clients, managing high-volume communications and guiding them through the documentation and intake process. You’ll play a crucial role in organizing case materials, supporting attorneys with administrative tasks, and ensuring confidentiality and compliance to help our firm operate smoothly and effectively. Responsibilities: What You’ll Do • Serve as the main contact for assigned clients, managing a high volume of email communications with professionalism and empathy • Guide clients through document submission using case management systems (e.g., Lawmatics, Docketwise), ensuring accuracy and completeness • Track and follow up on missing documentation to support timely case preparation • Coordinate attorney calendars, appointments, and travel itineraries, resolving scheduling conflicts • Manage front desk and office operations, including greeting visitors, managing mail and supplies, and maintaining a welcoming environment • Prepare agendas, reports, and confidential correspondence • Maintain secure legal records, client files, and operational databases in compliance with confidentiality standards • Collaborate with attorneys and administrative staff to improve workflows and client experience • Represent the firm in client and vendor communications with professionalism, clarity, and empathy Qualifications: What You’ll Bring: Qualifications • Associate’s degree in Business Administration, Legal Studies, Communications, or related field • 3 years of administrative experience supporting senior leadership; legal or immigration firm experience is preferred • Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment • Excellent written and verbal communication and interpersonal skills • Experience working with diverse clients or sensitive legal matters is strongly preferred • Familiarity with case management systems (Lawmatics, Docketwise, etc.) and tools such as G-Suite and Slack • Notary Public certification is highly preferred but not required Compensation: $54,080 - $74,880 yearly
