Responsibilities: What You'll Do First Contact & Client Intake • Answer incoming calls and serve as the welcoming first point of contact for new and prospective clients • Conduct confidential, compassionate intake interviews, listening carefully and capturing each caller's story and needs • Guide clients through onboarding: providing updates, answering questions, and gathering the information our legal team needs • Direct calls, take messages, and respond to inquiries promptly and professionally Scheduling & Coordination • Schedule consultations and client appointments, and coordinate meetings with the legal team • Organize internal meetings, prepare agendas, and take meeting minutes Administrative Support • Prepare and edit documents, including correspondence, reports, memos, and emails • Process and route incoming mail for the legal team • Provide day-to-day administrative support to attorneys and staff Tracking & Reporting • Keep firm databases, reports, and spreadsheets accurate and current • Track calls, qualified leads, scheduled consultations, referral sources, and key performance metrics Qualifications: What We're Looking For • 1–3 years of experience in administrative or customer service roles, ideally within a law firm or another client-centered environment • Excellent communication skills, able to listen actively, build rapport, and engage professionally and compassionately with people from every background • Strong organizational skills, able to manage multiple intakes at once, prioritize effectively, and handle confidential information with discretion • Comfort with CRM or case management systems, or eagerness to learn new technology quickly • Close attention to detail and accuracy in data entry, documentation, and client communication • Composure under pressure and the empathy to handle difficult, emotional conversations with professionalism • A collaborative, team-oriented attitude and a genuine passion for exceptional client service • A self-starter mindset with initiative and strong problem-solving instincts Compensation: $15 - $18 hourly
