Our growing, customer-focused local business is looking for a reliable, well-organized and sales-oriented Office Manager to direct day-to-day operations. The Office Manager is responsible for developing and maintaining customer relationships, leading phone-based sales efforts, and managing all aspects of field operations.
Key Responsibilities Customer Communication
Answer incoming client calls and emails
Respond to service inquiries and provide basic pricing information
Schedule pool services including maintenance, openings, repairs, and inspections
Follow up with clients regarding appointments and service updates
Scheduling & Operations
Manage the daily service schedule for technicians
Coordinate appointments to ensure efficient routes and coverage
Adjust schedules when weather or service needs change
Support the team in maintaining organized service record
Client Experience
Ensure customers receive prompt and professional communication
Address questions and service requests in a helpful manner
Help identify opportunities for additional services when appropriate
Assist in maintaining high customer satisfaction
Qualifications
We are looking for someone who is:
Friendly and professional on the phone
Highly organized and detail-oriented
Comfortable using scheduling software and basic office tools
Able to multitask in a fast-paced environment
Reliable and proactive in solving problems
Preferred Experience
Customer service or administrative experience
Scheduling or dispatch experience in a service business (HVAC, landscaping, pool service, etc.)
Experience with CRM or scheduling systems
