In this role, you'll be the cornerstone of client relationships, ensuring every need is met with efficiency and warmth. You'll need experience with Microsoft Word, Outlook, Adobe, Calendly, and Zoom, with a bonus if you're familiar with Actionstep and HubSpot. Responsibilities: • • Is responsible for maintaining the firm calendar, following the firm’s Time Template to schedule and prepare confirmations and reminders for all prospect and client meetings • Interacts with prospects and, using his/her excellent interpersonal skills, serves the prospect’s needs. • Is responsible for maintaining the firm’s Client Relationship Manager database system to appropriately track prospect and client status. The Client Services Coordinator follows up with the Attorney after each client meeting or initial consultation, documenting the meetings and updating the client’s file. • Coordinates workshops/presentations; maintains registration records; sends out confirmation letters/emails; makes reminder phone calls, and follows up with workshop attendees • Markets and advertises workshops on the firm’s social media and website • Invoices, collects, and tracks all client fees paid to the firm • Provides status reports to the team during the Team Meeting • Assists the attorney with referral partner communications, scheduling meetings, tracking referrals, and follow-up activities Additional duties include: • Answering phones and routing calls; • Sorting and distribution of mail; • Scanning and filing; • Opening and closing the office; • Being a positive representation of the Firm and Attorney. Qualifications: • • Experience in managing client relationships and maintaining CRM systems, ensuring accurate tracking of client interactions. • Ability to coordinate and organize workshops, presentations, and meetings with precision and attention to detail. • Proven track record of effectively using Microsoft Word, Outlook, Adobe, Calendly, and Zoom in a professional setting. • Strong interpersonal skills to interact with prospects and clients, providing exceptional service and support. • Ability to manage and prioritize multiple tasks, including scheduling, invoicing, and administrative duties. • Experience in marketing and advertising events on social media platforms and websites. • Ability to provide clear and concise status reports to team members, fostering a collaborative environment. Compensation: $22 hourly
