The Parents Estate Planning Law Firm is an estate planning law firm focused on the estate planning needs of young families and empty nesters. We are looking for a Client Services Coordinator to join our collaborative team. Our growing estate planning law firm is looking for a Client Services Coordinator to ensure that every client interaction—from the very first contact —is handled with care, warmth, and professionalism. In this role, you’ll support clients as they begin the important process of protecting their children and planning for their future. You’ll help schedule appointments, guide clients through next steps, answer questions with empathy, and ensure every family feels welcomed, supported, and cared for from their very first interaction. Responsibilities: Client Intake Support: • Assist prospective clients during their initial contact with our firm. • Schedule consultations and gather relevant intake information with empathy and professionalism. • Ensure potential new clients are treated with professionalism, while being nurturing and welcoming, understanding that estate planning can be scary and intimidating. Client Relationship Management: • Track and manage client milestones in our CRM system; birthdays, anniversaries. • Call clients for regular check-ins, satisfaction surveys, and Google review requests. • Help develop creative ways to stay engaged with clients after their planning is complete. • Assist the Marketing team with client appreciation events and referral programs. Event Coordination & Attendance: • Assist with planning, promoting, and attending firm-hosted educational workshops, and assist with the backend of webinars. • Manage event logistics and on-site coordination. • Attend events; answer questions and schedule appointments at the end of events. Administrative Support: • Provide general administrative and office support to ensure smooth operations. • Provide backup support to reception during vacations. • Assist with marketing tasks as needed. Qualifications: • 4-year college degree or Associate degree. • 1-2 years of experience in a professional office setting. • Exceptional interpersonal and communication skills. • Willingness to go about and beyond to provide 'white-glove' service to clients. • Highly organized, detail-oriented, and able to manage multiple priorities. • Comfortable using CRM and scheduling systems (experience with HubSpot a plus). Microsoft Office, required. • Previous client service, sales, and/or administrative experience preferred. Compensation: $47,000 - $52,000 yearly
