In this role, you’ll ensure that every client interaction—from the very first contact —is handled with care, warmth, and professionalism. As the Client Experience Coordinator, you will feel strongly about our mission to create legal plans for parents so that their children know they were loved, cared for, and protected. You will have the opportunity to work closely with clients, from meeting them at events, answering their questions, and assisting them in scheduling various meetings. This is a new position with our firm, and we are looking for someone who has ideas and wants to develop the role. Responsibilities: Client Intake Support: • Assist prospective clients during their initial contact with the firm. • Schedule consultations and gather relevant intake information with empathy and professionalism. • Ensure potential new clients have a smooth and welcoming introduction to our firm. Client Relationship Management: • Maintain regular contact with clients throughout their lifetime with our firm. • Track and manage client milestones in our CRM system; birthdays, anniversaries. Client Engagement & Reviews: • Coordinate client check-ins, satisfaction surveys, and Google review requests. • Help develop creative ways to stay engaged with clients after their planning is complete. • Support client appreciation and referral programs. Event Coordination & Attendance: • Assist with planning, promoting, and attending firm-hosted workshops, and aiding with the backend of webinars. • Manage event logistics and on-site coordination. • Attend events, answer questions, and be available to schedule appointments. Administrative Support: • Provide general administrative and office support to ensure smooth operations. • Provide backup reception support. • Assist with marketing and communication tasks as needed. Qualifications: • 4-year college degree. • 1-2 years of experience in a professional office setting. • Exceptional interpersonal and communication skills. • Highly organized, detail-oriented, and able to manage multiple priorities. • Comfortable using CRM and scheduling systems (experience with HubSpot a plus). Microsoft Office, required. • Previous client service, sales, and/or administrative experience preferred. • A positive, team-oriented attitude and a genuine desire to help people. Compensation: $45,000 - $50,000 yearly
