    Position Overview

    The Client Services Representative (CSR) is responsible for delivering outstanding client experiences by managing front desk operations, facilitating communication between clients and the veterinary team, and ensuring seamless appointment flow. This role requires strong interpersonal skills, attention to detail, and the ability to thrive in a fast-paced, team-oriented environment.

    Key Responsibilities

    Client Care & Communication

    Greet clients warmly in person and over the phone.

    Schedule, confirm, and manage appointments efficiently.

    Educate clients on hospital services, preventive care, and financial policies.

    Assist clients with questions, concerns, and follow-up calls.

    Administrative & Technical

    Manage electronic medical records with accuracy and confidentiality.

    Process invoices, payments, deposits, and maintain cash drawer accuracy.

    Support reminder systems, prescription refills, and medical record requests.

    Maintain reception area cleanliness and organization.

    Team Collaboration

    Act as a liaison between clients and the veterinary medical team.

    Assist technicians and veterinarians in facilitating smooth patient visits.

    Participate in staff meetings, training, and continuing education opportunities.

    Qualifications

    Prior customer service experience (veterinary, medical, or hospitality preferred).

    Strong communication and organizational skills.

    Proficiency with computers and practice management software a Plus.

    Ability to multitask and remain calm under pressure.

    Positive, professional, and team-oriented attitude.

    Physical Requirements

    Ability to stand, sit, and move between areas of the hospital throughout the day.

    Comfortable handling occasional animal interactions in the lobby.

    Lift up to 30 lbs occasionally.
