Responsibilities for Client Support Specialist:
Client Interaction & Assistance:
Greet clients professionally and warmly in person and over the phone.
Schedule and confirm client on-site and virtual meetings.
Assist clients with downloading and accessing tax documents for review and signature.
Provide support to clients regarding document portals.
Answer general inquiries, screen and direct calls.
New Client Onboarding & Engagement Management:
Draft and send engagement letters to clients.
Onboard new clients.
Database Management:
Maintain and update databases with accurate client information.
Ensure data integrity and confidentiality.
Document Management:
Download and save client-provided financial documents from various portals.
Scan, organize, and securely store client documents in the firm’s document management system.
Ensure all digital and physical client records are properly and confidentially maintained.
Marketing Support:
Monitor and update marketing and newsletter databases, as needed.
Provide support for bi-weekly newsletter and social media.
Office Supplies & Inventory Management
Monitor and maintain office supplies and snack/beverage inventory, coordinating with vendors to ensure timely replenishment.
Other Administrative Support:
Manage incoming and outgoing mail.
Assist the team with other duties as assigned, including processing tax returns and extensions, closing out client workflows, following up with clients for signatures and other authorizations.
Other Job Details:
Full-time and on-site in Parsippany, NJ.
Standard hours 9:00am-5:00pm.
Flexibility and willingness to work extended hours (evenings/weekends), January-April, September-October, and as needed.
Required Qualifications:
High School graduate or equivalent.
At least 1 year of office experience, preferably in a financial services or legal firm.
Client service experience.
Strong proficiency in Microsoft Office Suite.
Demonstrated proficiency learning new software programs.
Strong proficiency in Adobe Creative Cloud (editing pdf documents).
Excellent verbal and written communication skills, organizational and analytical skills, and diligence.
Professional demeanor and presentation.
Ability to thrive in a demanding environment.
You will stand out if you have:
CPA Firm experience providing admin support for tax, audit, or accounting departments.
Experience with A/R and A/P.
Associate or Bachelor’s Degree.
