Client Support Coordinator - File Processor This is a full-time in-office position. Monday - Friday 8:30 am -5:30 pm We are seeking a highly organized and detail-oriented Client Support Coordinator to join our legal team. This role plays a vital part in supporting attorneys and paralegals by maintaining client files, managing schedules, and facilitating clear and timely communication between team members and clients. The ideal candidate will demonstrate strong organizational and communication skills, exceptional attention to detail, and a high degree of professionalism. Responsibilities: • File Management: Organize, maintain, and retrieve client files (both physical and electronic). Cross-check documents for accuracy and consistency with each client engagement, ensuring all relevant documents are properly scanned and stored. • Calendar Coordination: Schedule follow-up calls between clients and attorneys, tracking deadlines, and ensuring all relevant information and documents are prepared in advance. • Team Communication: Serve as a liaison between attorneys, paralegals, and clients, conveying essential information from client meetings and ensuring follow-up tasks are completed. • Client Interaction: Act as a key point of contact for clients, assisting them with paperwork, answering questions, scheduling signing meetings, while ensuring confidentiality. • Meeting Preparation: Prepare and organize documents for signing meetings, act as a notary or witness, ensure proper execution, scan documents, and assemble the Estate Planning Portfolio. • External Coordination: Schedule external office spaces for consultations and signings, and coordinate mobile notary services for clients as needed. • Document Recording: Record relevant documents with the applicable county. • File Closure: Follow a detailed checklist to ensure all client information is accurately updated in the CRM and record-keeping systems, verify that outstanding balances have been collected and documented, ensure all executed documents are scanned, backed up electronically, and that the physical file is securely stored in the file cabinet. Qualifications: • Proficient in Microsoft Office Suite. • Strong verbal and written communication skills. • Excellent organizational and time management abilities. • High level of accuracy and attention to detail. • Strong problem-solving skills. • Professional, empathetic, and client-focused approach. • Minimum of 2 years of administrative experience. Compensation: $19 - $21 hourly
