    Service Administrator

    1. LEVELS

    1. GENERAL DESCRIPTION

    The Customer Service Administrator administers the passage of customer units received for service from Receiving through Shipping. The process includes revising the incoming service order, providing the technician with required documentation, obtaining approval of estimates, and preparation for invoicing. The Service Administrator is generally the customer’s primary Climet contact and directs calls to the appropriate person for assisting the customer.

    1. Guidelines

    The Customer Service Administrator reports to and performs under the Manager responsible for the Service department. The Customer Service Administrator operates within established corporate and divisional policies and guidelines, as well as policies and procedures established by the Service manager, and any special procedures or policies that apply to the Service department.

    1. EDUCATION

    No special educational requirements have been established for this position, but an AA degree from a business school, or some college classes are preferred.

    1. SKILLS

    § Familiarity with the Windows operating system and with Microsoft Office applications.

    § Good writing skills.

    § Able to communicate with customers by email.

    § Good phone skills.

    § Organized and familiar with basic office management.

    § Able to learn quickly.

    § Able to handle multiple tasks in parallel without feeling stressed.

    1. DUTIES

    § Creation and maintenance of unit history folders.

    § Prepare travelers for incoming jobs.

    § Providing RMA numbers to customers and distributors.

    § Maintain filing system for various processing stages for jobs completed by technicians.

    § Prepare estimates and obtain approvals for repairs.

    § Contact customers for pre-pay, P/Os or revised P/Os.

    § Revise Sales Orders for final invoicing.

    § File unit history folders and invoice packets after job has closed.

    1. RESPONSIBILITIES

    § Process all jobs in timely manner.

    § Keep jobs with expedite fees moving to ship same day if at all possible.

    § Monitor processing of any urgent job to be sure it does not get stalled out at any processing point.

    § Maintain organization in the department.

    § Maintain daily report of status of open jobs.

    § Process on-site jobs as soon as technician completes expense report.

    Follow up with customers as frequently as necessary to obtain approvals, P/Os or prepayments as soon as possible in order to minimize the time a unit remains in the factory.
