    Job Summary

    We are seeking an organized, dependable, and proactive Clinic Office Manager to oversee the daily operations of our ABA clinic. You will play a key role in ensuring the center runs efficiently, supporting both administrative and clinical functions.

    As the Clinic Office Manager, you are a core team member—using your multitasking, organization, and communication skills each day to keep the clinic operating smoothly. This position requires a strong sense of urgency, excellent attention to detail, and the ability to prioritize tasks in a fast-paced environment.

    Responsibilities

    Oversee all aspects of daily clinic operations to ensure smooth and efficient functioning

    Maintain an active leadership presence within the clinic to promote teamwork and accountability

    Conduct performance reviews and provide ongoing feedback to staff members in coordination with leadership

    Manage client intake procedures, including giving tours, reviewing admission forms, and scheduling assessments

    Create and maintain daily client and staff schedules; track cancellations and coordinate coverage as needed

    Monitor attendance and ensure staff clock-in/clock-out compliance

    Prepare and maintain accurate payroll tracking sheets for hourly staff

    Keep detailed records of staff credentials, certifications, and training requirements (e.g., RR, CPR, QBS)

    Support clinical compliance efforts with Medicaid, Wayne County, and other regulatory entities; assist with audit preparation

    Maintain communication with leadership regarding staffing changes, operational needs, and site updates

    Manage office supplies, vendor relationships, and invoices to ensure cost-effective operations

    Qualifications

    College degree preferred

    Prior experience as an Office Manager, preferably in a healthcare, behavioral health, or ABA clinic setting

    Strong understanding of scheduling, payroll preparation, and operational procedures

    Knowledge of clinical compliance standards for Medicaid and Wayne County preferred

    Excellent leadership, communication, and organizational skills

    Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

    Ability to multitask, prioritize, and respond promptly to operational needs in a fast-paced environment
