Clinic Operations Assistant (Front Desk + Aide Support)
Role Overview
This hybrid role bridges the gap between the front desk, clinical floor, and operations. You'll serve
as both Administrative Support and Exercise Specialist (Aide) — supporting patients, clinicians,
and directors to keep the clinic running smoothly. Ideal for someone who is proactive,
personable, detail-oriented, and ready to grow in a dynamic healthcare (should look and feel like

Team & Clinical Director Support
● Serve as a communication conduit between departments (Front Desk, Clinical, Ops, HR)
● Support Clinical Director with day-to-day needs, special projects, and patient experience
enhancements
● Help ensure the clinic maintains Evolve's luxury hospitality standard
Administrative Support Responsibilities
● Greet and check in patients with warmth and professionalism
● Prepare for daily evaluations — gather paperwork and flag missing documents
● Manage patient intake forms and understand registration requirements
● Book out patients and assist with schedule flow
● Follow up on cancellation calls to reduce no-show rates
● Troubleshoot kiosk/self-check-in issues
● Close communication loops in Slack between departments
● Coordinate with Patient Services on insurance and authorization issues
● Restock office and clinical supplies; monitor budget
● Ensure clinic cleanliness and that housekeeping protocols are met
● Support new hire and student onboarding (welcome kits, intro tours)
● Celebrate clinic milestones: birthdays, anniversaries, farewells
● Replenish marketing materials: brochures, inserts, business cards
♂ Aide / Exercise Specialist Support
● Assist Physical Therapists during sessions
● Support patients through prescribed exercises
● Maintain equipment cleanliness and readiness
● Provide friendly encouragement and high-quality patient care
● Step into full aide duties when coverage is needed
Qualifications
● High school diploma or equivalent required; college coursework in healthcare or
kinesiology a plus
● Experience in customer service, front desk, or healthcare settings preferred
● Passion for helping others and growing in the healthcare field
● Excellent communication, multitasking, and tech troubleshooting skills
● Friendly, proactive, and reliable demeanor
● Must be comfortable supporting both administrative and clinical tasks
