About the Role
We are seeking a strategic and operations-focused Clinic Operations Manager to lead and optimize a growing outpatient behavioral health practice providing therapy and medication management services.
This role is ideal for a strong healthcare operations professional who understands revenue cycle management, staff leadership, and performance metrics — and who is ready to help scale a mission-driven mental health clinic.
The Clinic Operations Manager will oversee daily operations while driving financial performance, compliance, and workflow efficiency.
Key Responsibilities
Operational Leadership
Oversee daily clinic operations to ensure efficiency, professionalism, and high-quality patient experience
Supervise administrative staff and coordinate with clinical providers
Develop and implement operational policies and SOPs
Ensure HIPAA compliance and adherence to healthcare regulations
Revenue Cycle Leadership
Provide oversight of the full revenue cycle, including claim submission timeliness, AR monitoring, and denial management
Review and analyze AR aging reports and implement corrective action plans
Identify billing workflow gaps and improve revenue efficiency
Ensure authorizations are tracked and claims are submitted within established timelines
Monitor payer trends (Medicaid and commercial) and resolve recurring issues
Collaborate with billing staff or external billing partners to optimize collections
Provide regular financial and KPI reporting to ownership
Staff & Performance Management
Hire, train, and supervise administrative team members
Establish accountability systems and performance expectations
Ensure provider documentation is completed timely to support billing
Foster a culture of professionalism, accountability, and patient-centered care
Growth & Strategy
Support clinic expansion initiatives
Improve intake processes and patient flow
Strengthen internal communication systems
Provide leadership reporting to ownership on financial and operational performance
Qualifications
Experience managing operations in a healthcare or behavioral health setting
Strong understanding of revenue cycle management (mental health billing preferred)
Experience working with Medicaid and commercial insurance payers
Demonstrated ability to build systems and improve workflows
Strong leadership and accountability skills
Excellent communication and organizational abilities
Preferred:
Background in behavioral health or outpatient psychiatric settings
Experience overseeing billing teams or working closely with revenue cycle operations
