What you will do as an Administrative Assistant:

    · Assist clinic director with any office tasks (Central Reach tasks, helping with assessments, center projects, scheduling, creating profiles in work-based platforms, etc.)

    · Assist billing manager with billing office tasks

    · Speak to families on the phone and in-person

    · Schedule calls and meetings

    · Maintain and update contact lists

    · Manage and update workflow systems (call outs/tardies for staff and clients spreadsheets, competency spreadsheets, caseload spreadsheet, etc.)

    · Scan and maintain data management (Maintain + Organize Box, CR, Catalyst, Google Drive)

    · Write and distribute email, correspondence, invoices, faxes, and forms

    · Act as a point of contact between clients and staff; effectively and timely manage communications; provide courteous support to clients/visitors/staff (Greetings in lobby, staff assistance)

    · Manage office supplies by taking inventory, placing orders, restocking, and researching cost-saving opportunities and new suppliers

    · Maintain, Organize, clean and Sanitize center daily

    · Assist with closing and crises management if needed

    · Work and closely communicate with senior administrative staff (BCBAs and BCaBAs)

    · Participate in ABA recruiting, team-building, social media posting, and other events/efforts

    Qualifications

    · Proven experience as an administrative assistant or in a similar role, preferably in an accounting or professional services firm

    · Proficient in MS Office and Google Drive

    · Strong organizational skills and the ability to multitask effectively

    · Excellent attention to detail and accuracy in completing tasks

    · Strong written and verbal communication skills

    · Ability to maintain confidentiality and handle sensitive information with discretion

    · Professional demeanor and strong customer service orientation
