    Job Summary The Clinical EHR Support Analyst is a vital member of the clinical team, serving as the technical and functional expert for the Electronic Health Record (EHR) system, Epic. Under the direction of the Director of Operations and Clinic Manager, this role combines clinical care expertise with Health IT knowledge to support high-quality patient care across clinical operations including the Clinic, Infusion Center, Research, and Pharmacy.

    The Clinical EHR Support Analyst is responsible for ensuring optimal performance and utilization of the Epic system through collaboration with end-users, leadership, external vendors, and internal stakeholders. This role involves identifying, assessing, troubleshooting, and resolving issues related to the use and function of the Epic system while possessing a deep understanding of EHR utilization and health center operations.

    Key responsibilities include supporting Epic implementation and go-live transitions by completing deliverables, facilitating training schedules, and conducting user acceptance testing. The Clinical EHR Support Analyst serves as the application expert by providing ongoing user training and support and completion of user acceptance testing. Additionally, the role contributes to system maintenance and optimization through completing and maintaining technical build within Epic, participating in training initiatives, creating and updating end-user documentation, and performing testing for system upgrades to ensure seamless integration, use, and performance.

    Strong problem-solving, communication, and technical skills, along with the ability to manage complex demands from end-users and align with organizational strategic goals, are essential for success in this role.

    Essential Duties

    Implementation Phase

    Serve as a key member of the implementation team, contributing to workflow analysis, project coordination, and site readiness activities

    Participate in Epic build activities including creating Epic users and provider records, setting up preference lists, fee schedules, letter templates, and supporting staff training sessions for Epic and aligned systems

    Collaborate with the contracted Health IT consulting partner on providing deliverables and assisting staff assigned to complete implementation deliverables

    Provide support for users with Ella (the learning management system), end-user training, go-live training, and dress rehearsal activities

    Technical Support and System Management

    Provide technical and functional support within Epic, addressing user inquiries, troubleshooting issues, and resolving problems to ensure optimal system performance

    Create and maintain technical build within the Epic system including provider and end user record build, SmartTool creation, and Preference List management

    Ensure utilization and performance of SmartTools to streamline and standardize clinical documentation while aligning with organizational needs

    Manage complex demands from end-users and prioritize tasks effectively, ensuring timely resolution of issues and efficient utilization of resources

    Training and Documentation

    Develop and maintain up-to-date end-user documentation and training materials, ensuring that users have access to accurate information and resources to effectively utilize the Epic system

    Participate in training initiatives, delivering instruction to end-users on Epic system features, functionality, and best practices, fostering user competence and confidence

    Provide direct support during go-live and ongoing to all end-users with Epic and aligned applications, ensuring new staff are trained and delivering continuous training support

    Maintain updated records on user training and report deficiencies to People Managers

    Collaboration and Workflow Optimization

    Collaborate effectively with project stakeholders, external vendors, and colleagues to identify and resolve issues related to the Epic system

    Work collaboratively with clinicians, IT, and leadership to manage requests for additions of diagnoses and procedure codes, fulfillment of requests for additional charting tools, and updates to clinical workflows

    Collaborate with IT, leadership, the contracted Health IT consulting partner, and other stakeholders through meetings and work groups to determine preference lists, Smart Phrases, and Provider Master files; implement new Epic and PM features

    Collaborate with IT and leadership to identify areas of need, training deficiencies, trends, and opportunities to streamline workflows and improve efficiency

    Work with IT and leadership to track system or user errors and other relevant data to achieve optimal efficiency

    Testing and Quality Assurance

    Conduct testing of new Epic features and upgrades prior to deployment

    Oversee the execution of user acceptance testing (UAT) of updates to Epic by leveraging the expertise of SMEs to assist in testing as well as effectively disseminating and incorporating changes into training materials and user documentation

    Facilitation

    Serve as subject matter expert and liaison between CIBD and contracted Health IT consulting partner, providing clinical and technical expertise

    Act as a liaison between leadership, end-users, and external vendors to facilitate effective communication, identify areas for improvement, and develop optimized solutions for Epic

    Work in partnership with leadership and stakeholders to align EHR support efforts with operational goals, contributing to the overall success and growth of CIBD

    Requirements

    Bachelor’s degree in Nursing (BSN) or equivalent

    Current license as a Registered Nurse (RN) in the State of California

    Minimum 5 years of Health IT experience including strong understanding of clinical workflows and health center operations

    Minimum 3 years of experience as a clinical nurse

    Minimum 1 year of experience as an Epic Support Analyst or equivalent role

    BLS

    HIPAA

    Preferred Experience

    Minimum 1 year of experience in an acute outpatient setting

    Master’s degree in Information Science, Computer Science, Health Science, Health Informatics or related field
