    1.1 The Receptionist / Program Management Administrator reports to the Vice President, SPL and Program Management, Cogmedix

    2.1 The Receptionist / Program Management Administrator, also referred to as "Director of First Impressions," welcomes and directs visitors while maintaining a professional and orderly office atmosphere, while ensuring visitors are provided with the highest level of hospitality. As a Program Management Administrator, this position aids the Program Management team in administrative tasks, to ensure customers’ requirements are met with accuracy and timeliness. This position also acts as a point of contact at Cogmedix for the Coghlin Companies Marketing and Events team and assists with various cultural initiatives, events and administrative tasks.

    3.0 Responsibilities:

    3.1 Welcome incoming customers and visitors.

    3.2 Answer phones, direct calls and inquiries, and take messages when needed.

    3.3 Maintain security by following procedures; monitoring visitor sign-in; issuing visitor badges.

    3.4 Sort and distribute daily mail

    3.5 Place supply orders through W.B.Mason.

    3.6 Create daily Welcome Board and reception-area television content.

    3.7 Schedule and maintain meeting-ready conference rooms at 127 Hartwell Street, including order, set up, and clear meals for meetings, stock refrigerators, clean white boards and refill water in Keurigs.

    3.8 Restock supplies needed for Visitor Convenience Center.

    3.9 Administer Predictive Index tool and enter information to database, when needed.

    3.10 Administer HR forms to applicants.

    3.11 Administer Foreign National paperwork when necessary and run Global Wizard on all Foreign National visitors.

    3.12 Keep the front lobby and desk compliant with 6S.

    3.13 Order/Reorder company business cards and name plates

    3.14 Train front-desk coverage

    3.15 Approve Good as Gold invoices.

    3.16 Provide a fun and inviting lobby environment on a daily basis.

    3.17 Maintain SDS book during emergency evacuations.

    3.18 Create Sales Orders, RMA’s and/or Packing Slips as needed/requested by Program Management Team

    3.19 Run Backlog, Excess, RMA as needed/requested from Program Management Team

    3.20 Perform Open Order report comparisons and other Excel based comparisons as needed

    3.21 Assist in the creation of DHR’s as needed/requested

    3.22 Assist Coghlin Companies Marketing, Administration and Events team with internal events, cultural initiatives and various administrative tasks, acting as the point of contact for that group at Cogmedix.

    3.23 Perform other tasks as requested and required.

    4.0 Essential Requirements:

    4.1 3+ years professional office experience necessary.

    4.2 Ability to maintain a high level of professionalism

    4.3 Telephone skills, verbal communication skills, customer focus.

    4.4 Familiarity with use of Microsoft Word, Excel, PowerPoint.

    4.5 Must be articulate with strong English language skills.

    4.6 Strong attention to detail.

    4.7 Organized and have the ability to multi-task in a fast-paced business environment.

    4.8 First-aid/CPR certified a plus
