    STATEMENT OF PURPOSE Effectively manages worker’s comp claims including tracking, reporting and communicating with injured employees.  Helps maintain smooth and effective operation of the multiple functions of the HR Department. Provides effective back-up to HR Director and HR staff.

    QUALIFICATIONS •    BACHELOR’S DEGREE. •    MINIMUM 1 YEAR WORK EXPERIENCE IN THE HUMAN RESOURCES FIELD. •    COMPUTER SKILLS (MICROSOFT OFFICE SUITE), STRONG TELEPHONE AND INTERPERSONAL SKILLS, HIGHLY ORGANIZED AND DETAIL ORIENTED.

    PHYSICAL DEMANDS Frequent sitting for long periods of time.  Occasional walking, standing, bending and reaching.  Occasional lifting up to 20 pounds.  Occasional pulling and pushing up to 30 pounds.  Corrected vision and hearing to a normal range.  Finger dexterity.  Occasional exposure to stressful situations.  


    WORKING CONDITIONS Office environment.  Occasional exposure to noise, cold, and heat.  Occasional stressful situations to manage.


    MAJOR TASKS, DUTIES AND RESPONSIBILITIES (All duties listed below are essential to the job.)

    General Staff Accountabilities •    Employee’s conduct conforms to the Mission, Vision, Values, and Code of Conduct of College Hospital. •    Values individual differences and demonstrates sensitivity to the cultural diversity of others. •    Respects the rights, privacy and property of others, and maintains strict confidentiality. •    Effectively protects all health information from unauthorized access per HIPAA regulations and all applicable local and state laws. •    Maintains required certification/license in a timely fashion when applicable. •    Exhibits good attendance and punctuality. •    Provides appropriate notice prior to vacation/time off, and notifies supervisor a minimum of two hours prior to shift when unable to come to work. •    Observes allotted break and meal periods as prescribed by Hospital Policy and follows time clock procedures by accurately clocking in and out. •    Attends to personal affairs to avoid any interference with productivity. •    Adheres to the Dress Code. •    Demonstrates an understanding of their personal role in the case of a fire/disaster, and participates in Performance Improvement activities. •    Functions with an awareness of patient safety issues and applies basic principles of safety as identified within the facility. •    Follows the occurrence reporting policy and procedure in reporting any potential safety issues.

    Job Specific Duties •    Handles multiple tasks timely and accurately while receiving incoming telephone calls and answering inquiries. •    Produces high quality documents and reports with accuracy and timeliness.

    Job Specific Duties, continued •    Maintains HRIS database accurately and timely, and produces high quality documents and reports. •    Accurately establishes an electronic file for each employee in the HRIS database; reviews new employee personnel files for all needed documents before inputting. •    Initiates and maintains all needed tracking documentation including but not limited to: competencies, evaluations, TB, license renewals, CPR and MAB renewals and any other documents that need tracked. •    Effectively prepares quarterly documentation and submits reports to HR Director. •    Effectively researches and provides written tabulations of data and special projects as requested by HR Director. •    Effectively prepares letters as needed for availability or requests for written resignation, etc. •    Handles multiple tasks timely and accurately while receiving incoming telephone calls and answering inquiries. •    Effectively prepares annual AQMD Transportation Plan and maintains monthly incentive program; helps with budget for plan and transportation related items. •    Effectively assists HR Specialist with all employee related activities as needed. •    Consistently demonstrates understanding of department policies and procedures and assists employees as needed. •    Effectively researches and provides written tabulations of data and special projects as requested by HR Director. •    Effectively updates Interpreter Logs monthly. •    Effectively sets up staff for on-line training program and Anti-Harassment course and generates related reports and updates. •    Effectively updates Annual Reorientation tests annually and ensures 100% compliance from all employees. •    Effectively assists HR Generalist with data input into HRIS database. •    Effectively coordinates employee activities including, but not limited to: Employee of the Month/Year, Employee Service Awards, Hospital/Nurse Week activities and holiday activities. •    Effectively demonstrates knowledge of current Workers Compensation laws/regulations including OSHA. •    Effectively maintains Worker’s Compensation files. •    Effectively reviews and submits employee injury reports to Workers Compensation insurance carrier in a timely manner. •    Contacts injured employees when first injured and remains in contact during the course of their injury.  •    Effectively communicates with the company’s designated clinic to treat Workers Compensation injuries to ensure smooth interactions between the clinic and injured worker as needed. •    Regularly checks injury and drug test reports from clinic and follows up as needed. •    Effectively maintains modified work duty program: assigns and tracks employees on modified duty, works with managers and employees to ensure smooth transition, and maintains weekly log. •    Effectively works with Director of HR regarding injured workers, work place violence, etc. as needed. •    Provides effective back up to the HR Director and HR staff as needed. •    Effectively develops memos, forms and flyers as needed. •    Effectively performs additional duties and responsibilities as position requires and as requested.
