Boutique law firm specializing in estates and trusts and nonprofit tax-exempt organizations is seeking a case manager/office administrator, proficient in basic math skills and skilled in Excel. The ideal candidate is someone who is an effective communicator, incredibly organized and self-motivated, is experienced in estate planning and administration case management and understands the estate planning, trust administration, and probate processes, and has experience with HotDocs Developer or is willing and able to learn it, and who is personable and enjoys working with and serving clients. To be considered for this position you must be located in Santa Barbara, CA, US. This is an in-office position. Responsibilities: Manage, update, and organize all case files and information with regard to engagement, whether electronic or paper, in accordance with firm policies Consult with attorneys and provide recommendations with regard to cost and time-effective ways to accomplish the client’s goals Draw up legal documents for attorney review Aid attorneys with all aspects of case management, including billing, docketing deadlines, and providing reminders as requested • Work in HotDocs Developer to make changes to our document templates as needed and to develop new templates • Oversee office administration, including supplies, accounts payable, monthly billing cycle, daily mail, office equipment, and case management workflows. Qualifications: A 2-year degree and Paralegal certification are acceptable, but a Bachelor’s degree is preferred - High school diploma is required Be a self-starter and able to effectively manage multiple matters at once Computer proficient - specifically with case management software, word processing, and spreadsheet presentation Effective organizational and communication skills, both written and oral, are needed • Excellent memory, follow-through and use of initiative, and good judgment • Attention to detail (stellar performance in proofreading and formatting documents, calendaring, data entry, assimilating and organizing data from multiple sources, and maintaining consistency through a set of documents) • Able to see the big picture, willing to adjust as priorities change, able to manage many client matters in a day, able to manage a heavy workload with grace • Able to anticipate needs and be proactive in coordinating next steps • Effective skills in time management, use of resources, problem-solving, and office efficiency • Comfortable with and/or willing to learn WordPerfect, Word, Timeslips, TimeMatters, Outlook, HotDocs. We are in the process of moving to a cloud-based practice management system that will replace TimeMatters and Timeslips, and to a cloud-based phone system. • Demonstrated ability to program/develop computer templates or comparable skills that can translate into effective learning and using HotDocs Developer and other programs to develop templates for document automation Compensation: $57,500 - $68,250 yearly
