  • Responsibilities

    I. Position Summary:

    Provides support for the Columbia Metropolitan Convention Center’s Vice President/General Manager and sales staff to coordinate events booked in the facility.

    Essential Functions/Responsibilities:

    · Responsible for assisting Vice President/General Manager and other Convention Center Departments as needed with the planning and coordination of day to day activities.

    · Provide assistance to staff when they are not available. This includes but is not limited to: conducting facility site tours, answering incoming calls, providing answers to general questions asked by the client, issuing proposals and contracts.

    · Compiles and maintains adequate supply of sales promotional materials and monitors inventory.

    · Provides initial information to new inquiries to direct them to the appropriate sales manager.

    · Provides information to Marketing Department on projects and promotions to include social media. Manages photo asset management as directed.

    · Attends and participates in weekly department meetings.

    · Coordinates all In-House meeting requests by booking in booking software and distributing event information.

    · Complete turnover process for all bookings, including creating and maintaining electronic event files and sending out introduction letters.

    · Responsible for inputting new events and monitoring events calendar on website to include all changes, updates, deletions, additions, etc. and implementing revisions needed as determined by events, sales, & marketing departments.

    · Responsible for maintaining and updating all information for General Service Contractors.

    · Updates and distributes multiple building reports.

    · Collect and process vendor order forms, maintain and update databases as needed to include but not limited to power orders, internet & data orders, and shipment information.

    · Creates event cleaning schedules as needed in collaboration with event manager and Operations Department.

    · Assists with travel planning and management for tradeshows and conferences.

    · Additional responsibilities as assigned by VP/General Manager.

    IV. Education/Qualifications Required:

    · Bachelor’s degree required, preferably in Hospitality or Tourism Management, Marketing, Business, Communications, or a related field.

    · Professional experience or related internship experience with a minimum of one (1) year.

    · Good interpersonal, organizational, and communication skills.

    · Must have passion for promoting the attributes of the Columbia region.
