  • Responsibilities

    Is responsible for the coordination of client visits, maintenance and upkeep of scheduling records and log books.

    Staffing coordination duties include the accurate and timely communication of scheduling changes between office and field staff.

    Oversees the operations of the office, including maintaining current employees personnel files, Client files, answering all phone calls, preparing and maintaining the agency's payroll and billing and compiling statistics necessary for the Administrator.

    POSITION RESPONSIBILITIES

    Maintains a current client roster with necessary information within the company’s Healthcare Software

    Updates log books and schedule sheets.

    Prepares weekly schedule for field staff and provides copies for distribution.

    Assists in coordinating services provided to clients.

    Controls and monitors and update all schedule changes within the company’s Healthcare Software.

    Assists in taking referrals, makes copies of referral sheets for Community Liaison.

    Fill in for field staff as business dictates

    Obtains weekly client hours and report results to the Administrator and staff team during weekly staff meetings.

    Assists in relaying messages to field staff, office staff and community liaisons, gives and takes reports from the on-call team member to ensure all staffing and service related issues are handled appropriately.

    Verifies and ensures time slips are signed and in the office on time, assures there are CNA notes for each entry on the time slips.

    Ensures the scheduling of appropriately skilled person to fill the case; the inputting of the scheduling information on the computer and continue to coordinate scheduling with clients and caregivers.

    Ensures the scheduling of replacement workers as needed and the input of the scheduling information

    Communicates with clients/families on home health aide related issues.

    Handles matters related to staff and the clients they serve

    Oversees the documentation and reporting of changes in client status, employee staff assignment and, any unsatisfactory performance

    Performs other duties as assigned by the Supervisor and or Administrator.

    Assists with Staff Payroll.

    Maintains all staff and personnel files.

    Maintains master files of personnel evaluations and makes copies on monthly basis for the appropriate department supervisor

    Keeps all evaluation forms current.

    Sends deficiency notices to personnel

    Acts as a receptionist for the office, answering inquiries of general nature from applicants, visitors, and professional staff, assisting them in a friendly and cooperative manner

    Assists in miscellaneous bookkeeping functions

    Submits bills to appropriate clients and agencies

    Complete weekly payroll functions

    Assumes various duties as directed by the Administration in the area of personnel and accounting

    Ability to take on call Monday through Friday and every other weekend

    Conducts orientation

    JOB CONDITIONS

    Position is stressful in terms of meeting deadlines.

    It is primarily a desk job which essentially involves sitting, standing, stooping and walking, as well as an inordinate amount of telephone communication.

    Travel is required, by car or airplane to local, out-of-town or state seminars, conferences or meetings.

    It requires minimal lifting of office records and printouts.

    The ability to read 12 point and larger type is required.

    One must be able to hear adequately on the telephone with no more than an amplifier and be able to communicate both verbally and in writing.

    EQUIPMENT OPERATION

    The job requires the ability to utilize a PC, calculator, multi- line telephone, and other related office equipment.

    COMPANY INFORMATION

    Has access to all client medical records which may be discussed with management.

    QUALIFICATIONS

    High school diploma or equivalent.

    Should be a skilled organizer able to manage office files, log books and staff schedules.

    Must possess light secretarial skill and have a polite telephone manner.
