We are a growing commercial real estate investment firm seeking a proactive, detail-oriented Virtual Assistant to support day-to-day operations across our property portfolio. This remote role is vital to maintaining efficient communication, organizing documentation, and ensuring timely coordination of property management tasks. The ideal candidate will have excellent English communication skills, be highly organized, and demonstrate comfort with technology and AI tools. This is a long-term opportunity with room for growth, ideal for a self-starter who thrives in a fast-paced, process-driven environment. Responsibilities: • Serve as the main point of contact for tenants and vendors, handling communications via phone and email • Manage maintenance requests and generate job orders promptly • Coordinate and schedule repair services and vendor appointments • Organize vendor contracts and monitor compliance documentation • Issue tenant notices for reminders, violations, and property updates • Assist in move-in/move-out processes, including scheduling, documentation, and checklist management • Track tenant insurance status and maintain accurate digital records • Collaborate with accounting to ensure the accuracy of tenant accounts • Maintain a well-organized, digital property management system • Use tools like ChatGPT to streamline workflows, communication, and continuous process improvement Qualifications: • Experience in commercial property management • Experience with Yardi Breeze Premier • Background in lease administration, maintenance coordination, or vendor management Required Qualifications • Exceptional English communication (written and verbal) • Strong attention to detail and organizational ability • Independent, proactive problem-solver with the ability to meet deadlines • Technologically adept with quick learning capabilities • Comfortable leveraging AI tools (e.g., ChatGPT) for daily tasks • Reliable, high-speed internet and a modern computer setup • Available to work during Pacific Time (PST) business hours Compensation: $7 - $10 hourly
