    JOB TITLE:          CORPORATE OFFICE MANAGER DEPARTMENT:     ADMINISTRATION REPORTS TO:     CHIEF EXECUTIVE OFFICER FLSA STATUS:   NON-EXEMPT


    QUALIFICATIONS/PREFERRED EXPERIENCE • To be considered for this job, an individual must have a minimum of 1-3 years of experience as an Administrative Assistant or leadership role. • Minimum of 1 year experience assisting an Executive Assistant. . • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

    DUTIES AND RESPONSIBILITIES

    • Oversees the daily operations of the Corporate Office. • Screens incoming calls and correspondence and responds independently when possible. • Organizes programs, meetings, conferences or events by arranging facilities and logistics, issuing information or invitations, coordinating speakers and budget. • Prepares agendas, notices, minutes and resolutions for corporate meetings. • Takes and transcribes dictation and composes and prepares confidential correspondence, reports and other complex documents. • Performs complex and confidential administrative professional functions. Responds to routine external correspondence. Types memos, purchase requisitions, payment requests and other department forms and documents. • Creates and maintains database and spreadsheet files. • Maintains confidentiality of all corporate, personnel and research matters. • Reconciles corporate credit card account(s). • Provides back-up support to Corporate Accounts Payable and to Corporate Cash Manager. • Makes photocopies/ binders as requested. • Orders and coordinates orders for office supplies and maintaining general supplies for the office. • Maintains inventory of supply for various programs. • Supervises office reception. • Coordinates building repairs with Maintenance Manager. • Corresponds with vendors regarding the cleanliness of the building. • Inspects the building for cleanliness, order, etc. Makes sure building meets various codes and standards. • Corresponds with various programs inside the building and keeps managers and other employees updated of scheduled events, repair dates, etc. • Maintains and enforces safety/emergency procedures and protocols. • Maintains and enforces security protocols. • Manage and maintain fleet, coordinate vehicle repairs and report accident claims to insurance carrier. • Reports claims of building damages and accidents to insurance carrier as necessary. • Maintains various database and spreadsheet files as requested by corporate managers. • Acts as a liaison between shareholders, community partners, vendors, etc. and the CEO. • Performs other duties as assigned.
