    Job Description

    Growing Tennessee based healthcare consulting firm https://compasshealthcareconsulting.com/ is seeking a fulltime Project Coordinator to support a primarily remote team. The Project Coordinator is responsible for supporting internal and external projects as assigned in accordance with Company work instructions while diligently safeguarding all protected health information (PHI), confidential client and company data by adhering to all privacy and security policies and procedures

    RESPONSIBILITIES:

    • Coordinate project flow, setup, tasks, and ongoing project work as directed. This includes confirming project scope, completing all documentation (check lists, setup forms, etc.), participating in client meetings as necessary providing status updates as requested.
    • Maintain Compass task system, including adding new tasks, updating existing tasks, and monitoring task list for potential adjustment based on project schedules and workloads. Discuss issues with management for timely resolution.
    • Assist in maintaining all client provider directories by reviewing data, adding new entries, or editing existing entries per direction, validating data as needed. Discuss issues with management for timely resolution.
    • Set up and maintain client document libraries per work instructions for new and future reviews.
    • Assist in maintaining ongoing review samples lists for various clients. Discuss issues with coding specialists and/or management for timely resolution.
    • Securely access client systems (such as EMR’s, EHR’s, PM systems, VPN’s) to retrieve claims and records to be reviewed per established work instructions and following all HIPAA Security guidelines.
    • Assemble records for reviews and redact PHI in claims and records per work instructions and upload them to the Compass Coding Software for review.
    • Contact scheduled providers to remind them of scheduled education meetings per the Booking calendar and document the reminder per work instructions. Contact the Coding, Billing and Clinical Documentation Improvement Specialist with any conflicts or cancellations per work instructions.
    • Proof and securely distribute the coding review reports per work instructions for the specified client. Follow up per the established timelines on distributed reports to ensure a coding education meeting is scheduled.
    • Data production, analysis, and compilation for client reports as directed per established schedule, such as weekly client reports, or as directed by management.
    • Maintain records and work papers, including EOQ (end of quarter) processes for all clients per work instructions ensuring all HIPAA Security guidelines are met.
    • Create and maintain work instructions for applicable processes. Update the work instruction master tracking tool per protocol.
    • Communicate with clients as directed by management using approved, secure communication methods as necessary. Monitor client shared email boxes to ensure timely responses.
    • Participate in internal and external meetings and training and development activities as directed

    EXPERIENCE REQUIRED:

    • High School diploma required.
    • Training and education in project management, medical practice operations and/or medical coding and billing preferred.

    SKILLS REQUIRED:

    • High degree of proficiency with MS Office 365 and all related applications including MS Word, MS Excel, MS Share Point, and MS Teams.
    • Proficiency with creating and manipulating Adobe documents for eSignatures, editing, redacting, and .pdf portfolio creation.
    • Ability to work independently, exercise initiative and problem solve independently.
    • Ability to apply written policies and work instructions to solve everyday problems and deal with a variety of situations WITHOUT the regular assistance of management.
    • Baseline knowledge of practice management systems, electronic medical record systems, information system/computer networks, hardware and software options, programs, and applications.
    • Knowledge of organizational policies and procedures.
    • Expertise/training in medical practice operations, and/or billing and coding.
    • Proficiency with MS Office 365 and related applications including MS Word, MS Excel, MS Bookings and MS SharePoint as well as Adobe Acrobat and other software applications.
    • Ability to deliver professional customer service per Compass guidelines sometimes under stressful conditions.
    • Strong knowledge of information system/computer networks, hardware and software options, programs, and applications.
    • Ability to work independently, exercise initiative and problem solve independently and apply written policies and work instructions to solve everyday problems and deal with a variety of situations without the regular assistance of management.
