    POSITION SUMMARY

    The AST Comptroller is responsible for oversight of the AST’s finances and accounting operations. This includes managing the processes, people, policies, and tools involved in the society’s financial operations; providing monthly reports to the Board of Directors about the society’s budget and financial position; and ensuring that the AST has reliable systems in place to oblige its financial obligations and related reporting.

    This position is located in Mount Laurel, NJ. The AST is open to considering highly qualified candidates outside of the geographic region for a fully remote or flexible (i.e., hybrid) work schedule.

    CORE DUTIES AND RESPONSIBILITIES

    The core duties and responsibilities for all AST employees include:

    • Be a role model for the organization’s values
    • Work with the senior staff and association leadership to proactively identify trends related to providing exceptional professional experiences for the AST membership
    • Support strategic plan and assigned projects
    • Monitor and present relevant data to the Board of Directors and committees to support the decision-making process
    • Create, document, and share timelines and budgets for assigned activities, manage timelines and associated deliverables consistent with the AST’s documented processes and procedures
    • Execute and enforce the AST’s documented financial processes and procedures
    • Attend association-related events, serving as an ambassador for the AST and documenting new learnings and sharing with other staff

    SPECIFIC DUTIES and RESPONSIBILITIES

    • Oversee and manage the AST’s financial operations, including the financial plans and policies, accounting practices, financial reporting, maintenance of fiscal records, and general budgetary controls.
    • Ensure that the operations defined above are aligned with achieving the organization’s strategic objectives.
    • Support the AST Treasurer in their role as the fiduciary officer responsible for overseeing the management and reporting of AST finances
    • Create and manage the annual budget along with input from Executive Staff and present it annually for the Board of Directors’ consideration and final approval
    • Attend monthly Board of Directors and Executive Committee meetings, fulfilling action items resulting from meetings as assigned
    • Review monthly financial statements and summarize activity for the Board of Directors’ review and approval; present and comment on these reports as needed during scheduled meetings
    • Serve as a resource to the AST staff on developing, reviewing, and managing contracts with external partners and vendors by ensuring the use of beneficial financial terms and sound business practices
    • Serve as primary point of contact for vendors contracted to assist with bookkeeping, investment management, annual audits, tax preparation, etc.
    • Serve as primary administrator for all banking and credit card accounts
    • Provide ongoing monitoring of operational income and expenses
    • Investigate and resolve questions and issues associated with processing of invoices and other related matters.
    • Review and approve invoice payments
    • Serve as Staff Liaison to the AST Investment Advisory Committee and the AST Audit Committee
    • Provide ongoing assessment of the society’s financial, budgeting, and administrative processes to further develop and improve systems
    • Oversee annual state registration process to solicit charitable contributions
    • Ensure all financial operations comply with federal and state laws
    • Hire, train, and manage financial support staff, if applicable based on future needs
    • Manage other projects as directed by the Associate Executive Director or CEO

    QUALIFICATIONS

    EDUCATION/ EXPERIENCE/REQUIRED PROFICIENCIES
    • Bachelor’s degree in finance, accounting, or other relevant field, Masters, or CPA certification a plus; or extensive experience with organizational finances and the responsibilities listed above
    • Five or more years of proven financial operations management experience
    • Knowledge of finance, accounting, and cost control principles including Generally Accepted Accounting Principles
    • Proven experience in financial management and accounting, preferably in a nonprofit
    • Hands-on experience with accounting and financial management software
    • Excellent interpersonal skills and comfortable collaborating with a multidisciplinary, diverse, and dynamic team in a productive and collegial manner; also, able to work independently
    • Experience should include legal, audit, compliance, and budget development
    • Competent using the Microsoft 365 suite of products; proficient with Microsoft Excel
    • Strong analytical skills, including the ability to anticipate and solve practical problems within the position’s scope of duties
    • Clear and concise communication skills, both oral and written, with the ability to explain financial terms in plain language in presentations and reports

    TRAVEL

    This role requires occasional overnight travel to support AST meetings and other related events. In-person Board meetings occur three to four times a year, generally in conjunction with the AST’s conferences or member meetings.

    This position requires occasional travel. This may include the ability to drive a car or travel on public transportation such as trains and airplanes.

    Board and member meetings may be scheduled after 5 pm Eastern to accommodate the patient care and work schedules of these volunteers.

    Individuals may need to sit or stand for extended periods of time and may require walking for periods throughout the day. Requires ability to use a computer, read a computer screen, use of a telephone and other office equipment as it relates to the work.

    Reaching above shoulder height, below the waist or lifting to move or access materials throughout the workday. Proper lifting techniques required. May include lifting up to 25 pounds for files, presentation equipment/documents on certain occasions.

    Primary environment would include ambient room temperatures, lighting and traditional office equipment as found in a typical office environment.

    MEASUREMENT OF SUCCESS

    • Financial reporting and budget timelines are met
    • Annual audit and financial reporting are accurate and completed on time
    • Budget exceptions are documented and approved
    • Projects are completed on time and implemented successfully
    • Feedback from AST colleagues, Board of Directors, and AST Treasurer is positive
    • Proactive support of AST leadership in resolving management or operational issues as they arise
