DESCRIPTION-
ROLE AND RESPONSIBILITIES
This is an intermediate level position involving clerical work in a highway materials testing facility.
This position will be working in the Administration Section.
The incumbent will perform some or all of the following: copying, operating the switchboard, assisting on miscellaneous projects, performing inventory, overseeing the addition of new property into FLAIR, PMRs and other department databases, purchasing functions with minimal supervision; processing contract documents for payment; entering data into the appropriate reporting software program or database; analyzing data; extracting data and preparing detailed reports and correspondence; and communicating with District and Contractor personnel.
SPECIFIC DUTIES INCLUDE:
Contract Payments - Process includes but not limited to submitting documents in a timely manner to general payments, audit paperwork for all required documentation, verify vouchers, then keep an accurate and organized filing system of these documents.
Consultant Invoice Transmittal System (CITS): Logs CITS payments and files appropriately.
Log all p-card charges in the Purchasing Tracking Sheet. Scan and uploads all p-card charges in the Document Storage System.
Acts as Property Custodian for the State Materials Office: Updates information in FLAIR, preparing transfer paperwork and coordinating Surplus.
Submit timesheets for contract employees as needed. Maintains and updates various spreadsheets included but not limited to subjects like purchases, travel, etc.
Special Projects as needed (Lightning strike insurance claims, GRU spreadsheet).
Relieve receptionist and cover mailroom duties when needed. Manage uniforms, aprons, and lab coat inventory.
All other miscellaneous duties.
