Overview
We are looking for a highly qualified and truly compassionate Concierge for our studio in Midland Commons at 6901 Ray Wright Way, Ste D, Columbus, GA 31909.
The Concierge is responsible for all guest and member relations, promotion and sales of our services and membership packages, maintenance of the facilities, supporting our medical staff in their clinical/administrative duties, and serving all other guest and member needs.
Often as both the first and last impressions to all guests and members, we are looking for a Concierge with outstanding hospitality skills who can create memorable, impactful, and positive experiences for anyone who interacts with our studio.
Job Description
- Patient Interaction: Greet patients, family members, friends, and visitors with a warm and professional demeanor. Provide a welcoming atmosphere that reflects the clinic's luxury standards.
- Promotions & Sales: Respond to patient inquiries regarding services, packages, and pricing. Provide clear and accurate information to enhance understanding and comfort. Sign up guests for services and process/collect payments accordingly.
- Appointment Coordination: Schedule and confirm patient appointments, ensuring optimal timing and resource allocation. Assist with pre-visit preparations and follow-ups. Respond to appointment cancellations and ensure they are rescheduled.
- Personalized Assistance: Offer tailored recommendations for services, specialists, and other clinic offerings based on patient needs and preferences.
- Inquiry Handling: Respond to all external inquiries coming to the studio promptly. Parties include prospective patients, current clients, family members and friends, local doctors, pharmacies, and pharmaceutical / medical device sales reps. Follow up as needed.
- Communications: Maintain clear and effective communication with medical staff, ensuring a smooth flow of information and services between patients and healthcare providers.
- Administrative Support: Assist with administrative tasks such as managing patient records, handling correspondence, and maintaining a clean, tidy, organized, and safe work area for all staff.
- IT Systems: Enter and maintain all electronic records with 100% accuracy.
- Facility Maintenance: Complete opening, middle, and end of day procedures in accordance with office directives and policies. Request and order office supplies as needed. Maintain a clean and welcoming environment for all guests.
- Lab and Biospecimen Processing: Oversee the collection and processing of lab specimens, ensuring they are prepared accurately, stored safely/securely, and in a timely manner for pickup by our lab testing partners. Maintain 100% accurate and appropriate documentation for all biospecimen handling.
- Prior Authorization & Patient Assistance Programs: Support patients in navigating prior authorization processes and patient assistance programs for treatments, ensuring all necessary documentation is 100% accurate and submitted/communicated promptly. Liaise with insurance providers and medical staff to facilitate approvals, keeping patients informed throughout the process.
- Complaint Resolution: Act as first point of contact for patient complaints or concerns. Listen attentively to feedback, assess issues, and provide timely solutions or escalate as necessary. Follow up on resolved issues to ensure patient satisfaction. Handle membership cancellations and downgrades with grace. Follow up accordingly for potential upgrades and membership restarts in the future.
- Marketing: Actively participate in marketing efforts, which may include participation at events, social media, radio, and TV.
- Process Improvement: Collaborate with other team members to regularly evaluate, refine, and improve processes in the studio, tools being used, and guest experience.
Qualifications
- High school diploma or equivalent; degree in hospitality, business, marketing, communications, or related field preferred.
- Minimum of 2 years in a concierge or customer service role, preferably in a luxury environment or healthcare / wellness setting.
