The conference services manager plans and executes events by coordinating with clients to understand their needs and then working with internal and external teams to manage logistics, such as venue setup, catering, and audiovisual equipment. Key duties include managing budgets, negotiating with vendors, ensuring client satisfaction, and supervising event-day operations to solve problems as they arise. Responsibilities: • Client relations: Act as the main point of contact for clients, understanding their requirements and ensuring their vision is met. • Logistics management: Coordinate all aspects of an event, including room setups, audiovisual needs, catering, and transportation. • Budget management: Develop and manage event budgets, ensuring all activities stay within financial constraints. • Vendor and supplier coordination: Negotiate contracts with external vendors and suppliers, such as hotels, caterers, and speakers, and ensure they provide satisfactory service. • Internal coordination: Act as a liaison between clients and various departments within an organization (e.g., food and beverage, front desk, engineering) to ensure seamless execution. • Staff supervision: Supervise event staff, providing guidance and ensuring all operational details are handled correctly. • Event execution: Oversee the entire event from start to finish, resolving any issues that arise during the event itself. • Administrative duties: Handle administrative details like creating event orders (BEOs), maintaining records, and processing payments. Qualifications: • Experience: Previous experience in conference planning, event management, or hospitality is often required. • Interpersonal and communication skills: Strong communication, negotiation, and interpersonal skills are crucial for working with clients and staff. • Organizational skills: Excellent organizational, multitasking, and problem-solving abilities are necessary to manage complex events.
