ODE builds the capacity of | | staff members, managers, and leaders across the organization through an | | array of meaningful and robust professional growth and engagement | | opportunities. | | | |   | | | | The Office of Organizational Development & Effectiveness (ODE) is | | seeking an NYC Summer intern to support its current program and event | | offerings within the areas of employee engagement and culture building. | | The intern will support the Program Managers with event and space | | management, event logistics and preparation, and program planning and | | organization.     INTERNSHIP RESPONSIBILIES:

     

     

    +--------------------------------------------------------------------------+ | Trainings and Events Coordination | | | | - Provide end-to-end support for event management | | - Create, maintain, and track event registration forms, sign-in | | sheets, and event attendance to support monthly, quarterly, and | | annual program evaluation | | - Assist in event promotional efforts by monitoring program | | registration numbers, serving as a liaison with the ODE team, and | | providing ongoing follow-up communications to facilitators | | and participants. | | - Print, pack, and deliver program materials | | - Assist with printing, collating, and pick-up and distribution of | | event posters and materials to various DOE locations | | - Provide onsite room set-up and break-down for events and trainings | | - Manage sign-in table and provide on-site support at various events | | and trainings | | - As a liaison for ODE, you will be responsible for maintaining a | | trusting relationship with vendors and key stakeholders | | | |   | | | | Program Support | | | |   | | | | - Create/Design program materials (e.g. name tags, flyers/posters, | | one-pagers etc.) | | - Update and maintain ODE internal calendar; send calendar invites and | | reminders to participants | | - Maintain registration software tools, intranet websites, and | | web-based catalog | | - Assist with day-to-day administrative support, including but not | | limited to scanning, filing, and data entry | | - Manage program space reservations and follow a tracking system for | | securing event venues, conference rooms, and training locations | | - Schedule transportation and/or package pick-up and delivery for | | events and trainings. | | - Communicate with vendors to confirm program dates, logistics etc. | | - Triage various internal email inboxes as needed | | - Provide administrative support to Executive Director, Program | | Managers, and Engagement & Development Coordinator as required. | | - Must be able to lift at least 25 lbs. | | | |   | | | | While every effort has been made to outline all the main duties and | | responsibilities of the post, a document such as this does not permit | | every item to be specified in detail.     QUALIFICATIONS/SPECIAL SKILLS/AREA OF STUDY:
