    ADMINISTRATIVE ASSISTANT

    NURSE ANESTHESIA PROGRAM, BOSTON COLLEGE

    Anaesthesia Associates of Massachusetts is currently in search of an experienced Administrative Assistant for their anesthesia program located at Boston College. The Admin Assistant will report directly to Program Director and Assistant Director. 

    JOB DESCRIPTION:

    • Provides administrative support to Program Director, Assistant Program Director, lecturers, and clinical faculty of the nurse anesthesia program.
    • Secretarial and clerical support entails day-to-day operations of the Nurse Anesthesia Program, including preparing material and corresponding with the National Board on Certification and Recertification of Nurse Anesthetists, the Council on Accreditation of Nurse Anesthesia Educational Programs and American Association of Nurse Anesthetists.
    • Schedules interviews for candidates for admission, prepares materials for orientation.
    • Maintains student records, ensuring that they are current with requirements for immunizations and certifications in ACLS and PALS and RN licensure. This includes coordination and maintenance of student malpractice insurance and Typhon case tracking system.
    • Together with the Program Director and Assistant Program Director maintains student formative and summative evaluation files.
    • Maintains files for all graduates and facilitates requests for references.
    • Maintains the budget for the department using Peoplesoft, maintains event/program files and databases, coordinates billing procedures and schedules all events and programs.
    • Prepares syllabi, course materials, exams, correspondence for the didactic and clinical courses in the Nurse Anesthesia Program. Assists with Canvas electronic teaching sites.
    • Coordinates applications for the SEE and National Certification Exam.
    • Participates in simulation activities as needed.
    • Prepares and coordinates facility reservations for committee meetings, interviews, comprehensive exam meetings, and simulation.

    JOB REQUIREMENTS:

    Two to three years of responsible secretarial experience. Baccalaureate degree preferred. Must have excellent communication and interpersonal skills. Must have excellent computer skills – typing and proofreading. Knowledge and proficiency of a PC computer system in a Windows environment including proficiency with MS Word, Excel, Powerpoint, PageMaker, FileMaker Pro, PeopleSoft, and Folderwave.

    Ability to work independently and as a member of a team. Requires flexibility in hours and occasional (rare) evening work. This position is the first contact for potential candidates as well as current students.
