About the Role
ADU Express is looking for an organized, detail-oriented Construction Administrative Assistant to be the administrative backbone of our projects. You'll support project managers, superintendents, and field teams — owning document control, subcontractor compliance, and day-to-day job-cost tracking so projects stay on time and on budget.
What You'll Do
- Own document control: organize, track, and distribute submittals, RFIs (requests for information), change orders, contracts, and permits
- Keep subcontractors compliant: collect, review, and track Certificates of Insurance, W-9s, and lien waivers
- Support project financials: process vendor invoices, match purchase orders, code expenses to job numbers, and assist with weekly payroll data entry
- Be the reliable point of contact: answer incoming calls, route messages, and keep field crews, subcontractors, vendors, and clients connected
- Keep schedules on track: book inspections, safety meetings, and project milestones, and track critical permit and approval deadlines
Required
- 3–5 years of administrative experience in the construction industry
- Working knowledge of construction documents — submittals, RFIs, change orders, permits
- Strong organization and attention to detail; you'll be juggling deadlines across multiple active projects
- Able to work on-site daily at our Gardena office
Preferred
- Hands-on experience with subcontractor compliance (Certificates of Insurance, lien waiver tracking)
- Experience with job costing, purchase-order matching, or payroll support
Compensation & Growth
- $65,000–$75,000/year, depending on experience
