    We are looking for a forward-thinking Executive & Personal Assistant to the CEO that is always a few steps ahead in organizing and coordinating.

    Responsibilities:

    • Provide high-level administrative support to the CEO.
    • Manage and maintain all types of sensitive matters with confidentiality and discretion.
    • Coordinate travel arrangements and itineraries.
    • Administration of family office, insurance, banking transactions, taxes, etc.
    • Prepare and proofread documents, reports, and presentations
    • Answer and screen phone calls, take messages, and respond to inquiries.
    • Manage the CEO's agenda, phone calls, emails, contacts and appointments.
    • Manage email correspondence and prioritize incoming messages.
    • Assist with data entry and file management.
    • Welcome the Executive's guests by greeting them, in person or on the phone, answering or directing inquires.
    • Complete ad-hoc projects as assigned including CEO's personal events and/or family needs.
    • Transcribe meeting minutes and other important documents.
    • Coordinate office activities and ensure smooth operations.
    • Utilize Google Suite, Microsoft Office, Outlook Calendar, and other software as needed.
    • Familiarity with phone systems and ability to handle front desk duties as required.
    • Performs additional duties as assigned by CEO.

    Experience:

    • 6+ years of experience required in working in a CEO / C-Level executive /President personal assistant role.
    • Excellent communication and time management skills; proven ability to meet deadlines.
    • Experience in high-paced environments.
    • Proficient in using Google Suite, Microsoft Office, Outlook Calendar, and other relevant software.
    • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
    • Excellent written and verbal communication skills.
    • Attention to detail and accuracy in all work performed.
    • Ability to handle confidential information with professionalism and integrity.
    • Strong problem-solving skills and ability to work independently or as part of a team.
    • Stay up to date with the latest administrative methods and technology.
