We are seeking an experienced, qualified professional to join our team. The person in this role will work in our office located in Kingston, MA, handling large-scale contract billing, as well as testing and inspection coordination utilizing our cloud-based ERP system. Our office atmosphere is casual and upbeat, and filled with hardworking and dedicated employees. The hours for this position are Monday - Friday from 7:00 am - 3:00 pm. We are seeking an individual with solid experience in construction billing.
Essential Duties and Responsibilities:
- Performing day-to-day financial transactions - accurately inputting transactions into accounting software, including: billings, postings, and processing change orders;
- Preparing accurate customer invoices using various platforms - some examples include: Textura, AIA, and Viewpoint Spectrum;
- Maintaining accurate job cost records of all job-related transactions, and updating systems accordingly;
- Reviewing the AR Aging report and routinely following up on aged receivables, as well as researching discrepancies and errors through interaction with customers and internal teams to resolve issues;
- Preparing necessary paperwork to obtain permits, submitting requests for COIs, responding to RFIs, and preparing close-out documents;
- Collaborating with customers and internal team members;
- Coordination of testing and inspection contracts - quotes, scheduling, and billing.
Competencies/Education/Experience:
The ideal candidate will have at least three years of experience in large-scale construction billing. Experience in billing via AIA and Textura, as well as experience in billing through a construction accounting software platform, is required. Experience using an ERP such as Viewpoint Spectrum or Sage Intacct is a plus.

- Strong understanding of job costing, billing cycles, retainage, and customer invoicing.
- Ability to work in a fast-paced environment and prioritize/juggle multiple competing tasks and demands while maintaining organization and accuracy.
- Excellent interpersonal, verbal, and written communication skills - ability to communicate clearly and effectively while maintaining a positive and professional manner.
- Ability to work well with and get along with a variety of different personality types, as well as work independently.

- Associate's or Bachelor's Degree in accounting, finance, or a related field preferred.
- Minimum of 2-3 years of experience billing medium to large-scale construction jobs with AIA billing and change orders.
- Ability to sit for extended periods of time, as this is a mostly sedentary position.
