Construction Coordinator

Gallagher Asphalt is looking for a driven, highly organized Construction Coordinator who thrives in a fast-moving environment and takes pride in keeping people, equipment, materials, and information moving in the right direction.
This is not a passive administrative role. You will be directly connected to the daily execution of our construction operations; helping coordinate crews, equipment, trucking, materials, subcontractors, and field support across multiple jobs.
We are looking for someone who thinks ahead, communicates clearly, catches details others miss, and stays composed when the plan changes. You should enjoy solving problems, working with different personalities, and helping an entire operation perform at a higher level.
What You’ll Own
As our Construction Coordinator, you will:
- Support the daily scheduling and coordination of labor, equipment, trucking, materials, subcontractors, and other construction resources.
- Review job production plans before daily operations meetings to confirm information is accurate and identify gaps before they become field problems.
- Communicate throughout the day with project superintendents, foremen, field employees, truck drivers, plant personnel, project managers, customer service representatives, and construction leadership.
- Coordinate and dispatch prime, tack, brooms, vacuums, aggregate, and other materials or resources needed for Gallagher projects.
- Help superintendents identify and coordinate small-equipment needs across jobs.
- Coordinate the field dispatch of shop mechanics when equipment issues arise.
- Support real-time trucking reassignments and other intraday operational changes within XBE.
- Monitor operational incidents, including equipment downtime, plant downtime, and stuck-truck events, and help ensure they are properly documented, analyzed, and closed.
- Review and approve labor and equipment timecards each day.
- Reconcile material transactions between vendor portals and XBE to ensure quantities and records are accurate.
- Maintain current material-site and supplier information within company systems.
- Aid in administering new-hire paperwork and drug-testing coordination for crew employees.
- Maintain employee schedules, contact information, vacations, days off, and related records.
- Help improve the processes and technologies that support our construction operation.

Who We’re Looking For
You may be a strong fit if you:
- Have previous dispatch, scale clerk, construction coordination, scheduling, logistics, or operational support experience.
- Understand, or are eager to deeply learn, the pace of heavy highway construction, asphalt, trucking, or a similar field-based operation.
- Can manage many moving pieces without losing attention to detail.
- Are comfortable asking questions, following up, and holding people accountable for needed information.
- Can adjust quickly when schedules, equipment, weather, production needs, or project priorities change.
- Communicate confidently with both field and office employees.
- Build strong working relationships while still addressing problems directly.
- Are comfortable using technology and learning new operational systems.
- Take confidentiality, accuracy, and ethical decision-making seriously.

Experience with XBE, B2W Track, Motive, DF Live, Laserfiche, Spectrum, Microsoft Office, or similar construction systems is helpful, but we are willing to teach our specific technology to the right person. A high school diploma and valid driver’s license are required. Previous scale, dispatch, heavy highway, or logistics experience is preferred.
A Role Built for Someone Who Wants to Make an Impact
This position reports to the Operations Support Manager and works closely with construction leadership, project superintendents, field personnel, project managers, plant teams, equipment management, and logistics.
The Construction Coordinator is a seasonal salaried position with 40 guaranteed weeks , with the typical season running from March through December. Regular on-site attendance is essential, and occasional night or weekend work may be required depending on operational needs.
