Job Description:
Terravanta is seeking an experienced Construction Logistics Specialist III – ARM Terminal Roadway and ASR Assistant to support airport-wide construction coordination, program administration, and stakeholder engagement initiatives. The ideal candidate will have experience managing project coordination processes, tracking construction activities, facilitating communication among multiple stakeholders, and maintaining accurate project documentation within a complex aviation or infrastructure environment. This role supports the Coordination and Logistics Management (CALM) Team by ensuring critical project information is accurately processed, maintained, and communicated across multiple project teams, airport stakeholders, contractors, and external agencies. The Construction Logistics Specialist will assist in coordinating logistics activities, workshops, permits, approvals, contractor onboarding, reporting, and program administration to help ensure successful project delivery.
Duties:
Maintain CALM processes and workflows to ensure accurate, timely, and effective communication among project teams and stakeholders.
Receive, review, process, and route new, revised, and updated project forms for approvals and signatures.
Distribute completed forms and project documentation to internal and external stakeholders.
Maintain and update project agendas, permits, activity logs, and tracking records, including monitoring permit expiration dates.
Coordinate stakeholder reviews, approvals, and concurrence requests.
Track and document project activities, revisions, approvals, and status updates.
Prepare, update, and distribute agendas and materials for weekly workshops, meetings, and coordination sessions.
Assist with airport-wide program administration and construction coordination initiatives.
Support the management and continuous improvement of CALM processes.
Maintain dashboards, reports, and performance tracking tools.
Coordinate training activities and contractor onboarding processes.
Collaborate with City agencies and stakeholders to support permit review and approval processes.
Request concurrence from LAWA subject matter experts and communicate approvals, conditions, and restrictions to contractors and project teams.
Track concurrence requests and distribute notifications regarding upcoming construction activities and project impacts.
Prepare presentations, reports, briefing materials, and project deliverables.
Collect, organize, and manage information required for reporting, meetings, and project coordination.
Assist with tracking the daily deployment and progress of multiple construction projects.
Record meeting minutes and follow up on action items to ensure completion.
Coordinate meetings and facilitate communication among project stakeholders.
Serve as a liaison with third-party entities whose construction activities may overlap with airport projects.
Support the CALM Manager in maintaining accurate project data and minimizing construction-related impacts while avoiding costly conflicts and redesigns.
Recommend improvements to logistics procedures, coordination protocols, and operational processes.
Requirements (Minimum):
Bachelor's degree in Architecture, Aviation, Business, Engineering, Construction Management, Planning, or a related technical field.
Minimum of 15 years of professional experience supporting construction, infrastructure, aviation, transportation, or large-scale capital programs.
Experience coordinating multiple projects and stakeholders in complex organizational environments.
Strong experience with document control, workflow management, meeting coordination, and project administration.
General understanding of civil construction practices and project delivery processes.
Excellent written, verbal, and visual communication skills.
Strong organizational skills with the ability to manage multiple priorities simultaneously.
Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, Publisher, Access, and PowerPoint.
Experience using Bluebeam and Adobe Illustrator.
Ability to prepare presentations, dashboards, graphics, Gantt charts, reports, and tracking tools.
Strong problem-solving skills and ability to adapt in a fast-paced environment.
Requirements (Preferred):
Master's degree in Architecture, Aviation, Engineering, Construction Management, Planning, Business, or a related field.
Experience supporting airport construction programs, aviation facilities, or large-scale infrastructure projects.
Experience working within the complexities of multiple governmental agencies and stakeholder groups.
Professional certifications and/or licensure such as:
AAAE (American Association of Airport Executives)
PMP (Project Management Professional)
PE (Professional Engineer)
AICP (American Institute of Certified Planners)
LEED Accredited Professional
Other relevant professional certifications
Experience developing and managing dashboards and reporting systems.
Knowledge of construction logistics, permitting processes, stakeholder coordination, and program controls.
