    About the Job: Position: Construction Project Accounting & Compliance Administrator Employeement Type: Full Time/Salaried Location: Austin, TX

    Job Summary:

    We are seeking an experienced and detail-oriented Construction Project Accounting & Compliance Administrator to oversee administrative operations within our construction office. This role plays a critical part in financial and project documentation, ensuring accurate and timely management of pay applications, change orders, lien waivers, insurance compliance, and budget reconciliations. The ideal candidate is highly organized, knowledgeable in construction documentation processes, and capable of working in a fast-paced environment.

    Key Responsibilities:

    1. Pay Applications:

    Prepare and process general contractor pay applications in accordance with project billing cycles.

    Ensure all required documentation (invoices, schedule of values, lien waivers) is submitted accurately and on time.

    Coordinate with accounting and clients to track approvals and payments.

    1. Budget Reconciliations:

    Assist project teams with final budget updates and reconciliations.

    Identify and flag budget variances and assist in preparing reports for project reviews.

    Support project close-out by ensuring all financial documentation is completed and reconciled.

    1. Change Order Coordination:

    Track and maintain logs for all submitted and approved change orders.

    Work closely with project managers and subcontractors to ensure timely documentation and pricing of changes.

    Verify impacts on project budget and assist in preparing formal documentation for client approval.

    1. Lien Waivers:

    Manage the collection, review, and filing of lien waivers from subcontractors and vendors.

    Ensure lien waivers are received prior to releasing payments.

    Maintain an organized system for tracking conditional and unconditional waivers per project.

    1. Insurance & Compliance:

    Track and maintain current certificates of insurance (COIs) for all subcontractors and vendors.

    Ensure insurance documents meet contractual requirements and are renewed timely.

    Serve as a point of contact for risk management and insurance compliance documentation.

    Qualifications:

    Associate or Bachelor's degree in Business Administration, Construction Management, or related field (or equivalent experience).

    3+ years of experience in a construction office or project coordination role.

    Strong understanding of construction pay applications, lien laws, and change order processes.

    Proficient in Microsoft Office Suite (especially Excel), and project management software such as Procore and Smartsheet.

    Excellent organizational skills and attention to detail.

    Strong written and verbal communication skills.

    Preferred Skills:

    Experience working with general contractors and subcontractors.

    Familiarity with AIA documentation (e.g., G702/G703 forms).

    Ability to multitask and prioritize in a deadline-driven environment.

    Working Conditions:

    Primarily office-based, with occasional visits to job sites as needed.

    Standard office hours.
