We are seeking a driven and organized Project Assistant to support our commercial and residential construction operations. This role provides administrative, scheduling, and coordination support throughout pre-construction, active construction, and warranty phases. The ideal candidate thrives in a fast-paced environment, is proactive in problem-solving, and takes ownership of helping projects move efficiently from planning to close-out. This position interacts daily with project managers, subcontractors, suppliers, the company owner, and occasionally clients. Innovation and initiative are valued. Responsibilities: Pre-Construction Coordination • Assist PMs with the organization and distribution of plans, specifications, and addenda. • Help track and manage RFPs, bid invitations, subcontractor outreach, and proposal collection. • Support permitting tasks, utility coordination, and other jurisdictional compliance steps. • Support the development of high-level project timelines and milestone schedules. • Organize project start-up documentation and safety/compliance files as needed. Construction Phase Support • Assist in daily/weekly timeline tracking to ensure project milestones are maintained. • Coordinate material procurement tasks, including quote requests, follow-ups, delivery coordination, and logistics support. • Track subcontractor and supplier communication to ensure timely field execution. • Support documentation management, including submittals, RFIs, change order logs, meeting minutes, and daily reports. • Enter data and update project information in company software systems. • Maintain updated contact lists, status reports, and task logs for each project. Warranty & Close-Out • Field warranty requests and coordinate scheduling with service technicians/subcontractors. • Track and close out warranty tasks; document resolutions for internal files and clients. • Assist with project close-out packages (O&M manuals, as-builts coordination, documentation logs). Additional Duties • Assist with scheduling meetings, distributing agendas, and recording notes. • Help prepare presentation materials, reports, and internal status summaries. • Communicate with clients, consultants, and subcontractors to gather or provide updates. • Maintain organized digital and physical project files. • Support administrative project functions as assigned with and for the company President, including managing emails, scheduling meetings, managing appointments both professional and personal, gathering information and making runs, creating presentations, bookings of all kinds, managing contact lists, and managing calendars. Qualifications: Required Qualifications • Strong organizational skills, attention to detail, and ability to manage multiple deadlines. • Excellent written and verbal communication. • Proactive, self-motivated, able to work independently to find answers and solutions. • Comfortable interacting with clients, vendors, and project stakeholders. • Proficiency with general computer systems, including Microsoft Office (especially Excel). • Valid driver’s license and acceptable motor vehicle record. Preferred Qualifications • Experience in construction, architecture, engineering, or a related field is preferred but not required. • Previous experience supporting multiple concurrent projects. Work Environment • This is an in-office role that supports jobsite activity. • Occasional travel to project sites and supplier locations may be required. Compensation: $16 - $22 hourly
