As a Project Coordinator at Gibian LLC, you will serve as the central hub for both construction project coordination and office administration. You’ll work closely with Project Managers, Site Superintendents, subcontractors, and company leadership to manage documentation, track budgets and schedules, coordinate resources, and keep operations running efficiently. This is a self-motivated, hands-on role that combines project oversight with administrative support, making it ideal for someone with commercial construction experience who thrives in a fast-paced environment. Responsibilities: Project Coordination: • Support Project Managers in coordinating tasks across multiple active construction projects • Prepare and maintain project documentation, including contracts, RFIs, change orders, submittals, and closeout packages • Process and track AIA billings and subcontractor invoices • Monitor and update project schedules, budgets, and milestones • Coordinate communication with subcontractors, vendors, and clients • Assist with permitting, inspections, and compliance with local codes • Provide occasional field support as needed Office Administration / Leadership Support: • Serve as a right-hand to company leadership, managing calls, calendars, and office correspondence • Maintain organized digital and physical project files • Enter invoices into QuickBooks for subcontractors and client billing • Manage office supplies and front-office operations • Assist with onboarding new team members and other administrative tasks as needed Qualifications: • Construction experience required —commercial construction background preferred • 2+ years of experience in construction administration or project coordination (more experience strongly preferred) • Strong understanding of construction documentation (RFIs, change orders, AIA billings) • Proficiency in Microsoft Office Suite; familiarity with QuickBooks • Excellent organizational skills and attention to detail • Strong written and verbal communication abilities • Self-starter capable of managing multiple priorities independently • Comfortable supporting both office and field operations Compensation: $50,000 - $70,000 annually Base Salary Range
