This hybrid role ensures project documentation remains organized while maintaining smooth administrative functions across multiple concurrent construction projects. The ideal candidate brings 2-3 years of construction or administrative experience and thrives in fast-paced environments.

    KEY RESPONSIBILITIES - CONSTRUCTION PROJECT COORDINATOR & OFFICE ADMINISTRATOR

    • Manage project documentation including proposals, subcontracts, change orders, RFIs, submittals, drawings, invoices, and close-out packages across multiple active construction projects
    • Coordinate scheduling for internal meetings, site visits, and project milestones using project management software and tracking tools
    • Oversee daily office operations including supplies, equipment, vendor relationships, facility maintenance, and incoming/outgoing correspondence
    • Provide administrative support to project managers, construction managers, and executive leadership including calendar management and travel arrangements
    • Process expense tracking, invoice submissions, timesheets, and assist with budget documentation and prevailing wage requirements

    QUALIFICATIONS - CONSTRUCTION PROJECT COORDINATOR & OFFICE ADMINISTRATOR

    • 2-3 years of experience in construction coordination, project administration, or office management roles
    • Strong organizational and multitasking abilities with attention to detail
    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) required
    • Excellent written and verbal communication skills for client and subcontractor interactions
    • Ability to manage competing priorities in dynamic construction environments

    PREFERRED QUALIFICATIONS - PROJECT COORDINATOR & OFFICE MANAGER

    • Experience with Procore, Bluebeam, or similar construction project management software
    • Understanding of construction terminology, processes, document control, and compliance procedures
    • Associate or bachelor's degree in construction management, business administration, or related field
    • Previous experience supporting multiple departments or executive teams
    • Familiarity with accounting, HR processes, or prevailing wage documentation

    PHYSICAL REQUIREMENTS - CONSTRUCTION PROJECT COORDINATOR & OFFICE ADMINISTRATOR

    • Primarily office-based with occasional construction site visits as needed
    • Ability to sit for extended periods while performing computer-based tasks
    • Occasional lifting of office supplies or project materials up to 25 pounds
    • Standard business hours Monday-Friday with flexibility for project deadlines
    • Valid driver's license for site visits within the Shawnee/Kansas City metro area
