Talon Hiring Solutions is partnering with a leading architecture firm in the Hoover, AL area to identify a Contracts / Construction Administration Coordinator to support projects throughout the construction and project closeout phases. This position is ideal for someone who is highly organized, detail-oriented, and comfortable managing documentation, deadlines, and follow-up across multiple projects. The Coordinator will work closely with Project Managers, Principals, contractors, consultants, and owners to ensure construction documentation is complete, accurate, and properly tracked.

What You'll Do
- Coordinate the administrative aspects of project closeout from substantial completion through final completion.
- Track closeout requirements and follow up with contractors and consultants to obtain outstanding documentation.
- Review closeout documentation for completeness before final payment and release of retainage.
- Assist with final applications for payment and verify that required documentation and project requirements have been satisfied.
- Review and track Change Orders, Construction Change Directives, and supporting documentation for completeness and accuracy.
- Review, log, track, and route Requests for Information (RFIs) to appropriate project team members and consultants.
- Review, log, distribute, and track submittals and shop drawings through completion.
- Monitor outstanding RFIs, submittals, change orders, punch-list items, and other construction administration requirements.
- Maintain accurate project records, logs, and documentation throughout construction and closeout.
- Coordinate with Project Managers and contractors regarding outstanding documentation, deadlines, and project requirements.
- Assist with Certificates of Substantial Completion and other AIA construction administration documents.
- Track warranties, operation and maintenance manuals, as-built documents, attic stock, training documentation, and other closeout deliverables.
- Assist in confirming completion of punch-list items and other outstanding project requirements.
- Maintain organized electronic project files and ensure documentation is properly filed and accessible.
- Support Project Managers with construction administration documentation, tracking, and follow-up.
- Communicate professionally with contractors, consultants, owners, and internal project teams regarding outstanding items and deadlines.
- Assist with owner and consultant agreements, amendments, and other contract-related documentation as needed.
- Perform other duties and responsibilities as assigned.
What You'll Bring
- Associate's or Bachelor's degree in Business, Construction Management, Architecture, Engineering, or a related field preferred.
- 2–5 years of experience in construction administration, project coordination, contract administration, architecture, engineering, or commercial construction preferred.
- Experience with construction project closeout, applications for payment, and retainage strongly preferred.
- Familiarity with RFIs, submittals, change orders, punch lists, and construction documentation.
- Familiarity with AIA contract and construction administration documents preferred.
- Experience supporting K–12, public-sector, or publicly funded construction projects is a plus.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple projects, deadlines, and outstanding items simultaneously.
- Strong written and verbal communication skills.
- Professional communication and follow-up skills when working with contractors, consultants, owners, and internal teams.
- Strong problem-solving skills with the ability to identify missing, incomplete, or inconsistent documentation.
- Ability to learn and follow established procedures, documentation standards, and project management systems.
- Proficiency with Microsoft Office and the ability to learn project management/document control software.
