    Trane is seeking a highly organized, proactive, and technically capable Controls Service Coordinator to support our Building Automation Systems (BAS) service operations in the Sunnyvale office.

    This role is critical to the success of our Controls service team and supports the Account Executive responsible for the regional controls service base, while also assisting with responsibilities typically aligned with a Controls Dispatcher. The ideal candidate thrives in a fast-paced environment, can manage competing priorities with confidence, and communicates effectively with customers, technicians, and internal stakeholders.

    This position plays a central role in coordinating preventative maintenance agreements, service response activities, technician scheduling support, customer communication, and documentation management across our Trane Controls portfolio.

    We are looking for someone who can operate with ownership, urgency, and precision.

    Key Responsibilities

    Service Coordination & Execution Support

    • Coordinate preventative maintenance visits for Trane Controls customers
    • Support scheduling alignment between technicians, customers, and service priorities
    • Assist with dispatch coordination during high-volume service periods
    • Help manage emergency service response coordination
    • Track service agreement deliverables and completion status
    • Help support and manage customer feedback and reviews

    Account Executive Support

    • Support the Account Executive managing the regional Controls service base
    • Assist with customer follow-ups and service coordination communications
    • Track agreement activity and renewal readiness
    • Support proposal coordination and documentation preparation
    • Help maintain visibility across active service accounts

    Customer Communication

    • Serve as a primary coordination contact for Controls service customers
    • Provide updates on service status and technician scheduling
    • Coordinate onsite access requirements
    • Support customer requests related to BAS service agreements
    • Help ensure high-quality customer experience delivery

    Documentation & Agreement Management

    • Track preventative maintenance completion status
    • Maintain service agreement documentation
    • Support service reporting coordination
    • Assist with warranty tracking and follow-ups
    • Maintain accurate service records within internal systems

    Operational Support

    • Coordinate internal communication between Controls technicians, project teams, and service leadership
    • Support prioritization across service requests
    • Assist with escalation tracking when needed
    • Maintain organization across a large and active service portfolio

    Required Experience

    • Preferred 5+ years' experience supporting Controls, HVAC service operations, or construction coordination environments
    • Experience supporting Building Automation Systems service teams strongly preferred
    • Familiarity with BAS platforms such as:
      • Trane Tracer SC / SC+
      • Niagara
      • BACnet environments
    • Experience coordinating technician schedules or service delivery workflows preferred
    • Strong documentation and organizational skills required
