    Job Description

    The primary function of the Business Affairs Coordinator is to efficiently support three (3) Business Affairs executives at Universal Studio Group in their day-to-day job responsibilities, while demonstrating an ability to work independently and meet tight deadlines. Exceptional time management and multi-tasking skills are essential. The position requires an individual who is highly organized, exhibits excellent judgment, is a self-starter, and has an ability to work with a high level of detail, while interfacing with a variety of creative clients and high-level executives (internally and externally). Additionally, the individual will handle heavy call volume/correspondence/drafting/invoice processing. A high degree of confidentiality and discretion pertaining to all matters and documents is required.

    Responsibilities:

    • Draft basic form agreements, revise/redline/proofread agreements, write correspondence, schedule meetings and phone calls, process expense reports, heavy filing, arrange travel, and other administrative duties as assigned
    • Maintaining and updating of weekly status reports
    • Developing and implementing office systems and procedures, which support the overall department’s needs and those of the executives to which this position reports
    • Act as liaison with all internal and external offices with the ability to strategically problem solve and find solutions, as required
    • Draft and summarize material terms following deal closures to prepare for deal memo distribution
    • Manage the distribution of office correspondence, contracts, and memos
    • Maintain and update of charts, project lists, and status reports
    • Participate in updating data management systems
    • Field queries from many departments including distribution, program planning, production operations, finance, legal, marketing, press and talent relations
    • Manage special projects as designated, specifically, dealing with administrative and coordination issues
    • May provide administrative support to other members of the Business Affairs team and handle other matters as needed at the direction of the team’s executives
  • Qualifications

    Basic Requirements:

    • Bachelor’s degree
    • 1+ years of experience at a media company, law firm or adjacent industry
    • 2+ years of experience using Microsoft Office (Word, Excel, Outlook, etc.). Proficiency in PowerPoint and Excel preferred.
    • Ability to exercise discretion with sensitive information and flexibility/adaptability to manage multiple, wide-ranging matters, conflicting deadlines, and new areas of expertise as business needs change

    Desired Characteristics:

    • Experience in media (preferably at a studio or network) supporting senior executives preferred
    • Familiarity with drafting and redlining agreements and/or legal contracts
    • A team player with strong work ethic who supports and upholds the company’s values
    • Highly motivated self-starter who is proactive and shows initiative
    • Shows comfort or willingness to learn databases and document management systems
    • Solid written and communication skills

    Hybrid : This position has been designated as hybrid, which currently requires contributing from the office a minimum of three days per week. Beginning January 5, 2026, hybrid employees will be required to work from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.
