    Job Summary

    We are seeking an experienced Business Office Manager/ Front Desk Supervisor to join our team! As our Business Office Manager/Front Desk Supervisor, you will be managing a team of Front Desk Associates to ensure every guest receives exceptional service. As a supervisor you will be responsible for training new employees, creating a schedule, and handling basic disciplinary actions. The ideal candidate has a strong background in customer service and leadership and a positive attitude.

    Responsibilities

    Create and implement both short and long-term goals for the company and the front desk staff

    Handle scheduling and time off requests for staff working the front desk

    Set a service standard and lead by example, providing exceptional customer service to all guests

    Manage training of new and existing staff members to ensure everyone understands the expectations set forth for them

    Work closely with the rest of the team to provide the highest level of customer service

    Coordinate with staff and the community to create partnerships and host events

    General Accountabilities

    Organizes, directs, and monitors daily activities of front and back office staff.

    Ensures efficient, friendly, and professional patient scheduling, patient registration, check-in and check-out, telephone service, insurance verification and co-payment verification.

    Observes front desk staff to ensure that established procedures are followed.

    Establishes procedures, prepares and coordinates schedules, and expedites workflow.

    Ensures all necessary reports and forms are completed daily.

    Performs front and back office staff responsibilities as needed.

    Ensures that the patient's needs are fulfilled and their office visit is as pleasurable as possible.

    Assists front office staff with resolution of patient problems/complaints as needed.

    Monitors and maintains front desk area.

    Possesses and maintains thorough knowledge of clinic services, facilities, policies, rates and promotions.

    Performs other related duties as assigned by management.

    Supervisory Responsibilities

    Oversee Front Desk Collectors who:

    Check patients out: did they get all supplies, does anyone have special instructions, next appt confirmed with patient and entered in the computer correctly, is correct amount paid?

    Schedule medical appointments

    Collect money owed

    Pass any patients with questions regarding their financial plan to the BusinessOffice

    Send statements to patients with money owed from the past 90 days

    Confirm next appointment

    Complete day sheet for every payment made.

    Enter fee slips at the time the patient checks out.

    Write receipt for every payment made

    File patient folders

    File loose paperwork on a daily basis

    Run the trial post during the lunch break

    Double check the trial posting report at the lunch break

    Run the posting report at the end of the day and make sure day sheet balanceswith receipts and posting report.

    Post total collection on the graph daily

    Oversee the Front Desk Staff Computer Task:

    Pulling up Front Desk section of system

    Getting into a specific patients calendar

    Getting into the ledger for the day

    Posting payments

    Changing a patients calendar

    Changing a patients address

    Rescheduling an appointment

    Rescheduling a new patient

    Scheduling a new patient

    Entering calendars

    Qualifications

    Previous experience managing a team desired

    Previous customer service experience

    Strong communication and interpersonal skills

    Excellent customer service skills

    Attention to detail
