    Cornerstone Transportation Consultants is seeking a an experienced Project Administrative Assistants to support the Project Managers and the Construction Management Teams for transit construction projects.

    PROJECT ADMINISTRATIVE ASSISTANT

    This position involves performance of moderate difficulty and highly confidential administrative and office management work assignments for the Project Manager (PM). This position requires an effective team member who can positively support project team members and foster a working environment where culturally diverse project staff can work together cooperatively.

    MAJOR DUTIES & EXPERIENCE INCLUDE:

    • Controls the PM’s schedule with authority to commit the PM’s time. Obtains necessary background information and presents available facts in a summary manner. Prepares meeting agendas, safety contacts, and relevant reports as required. Regularly attends meetings with the PM and transcribes meeting minutes. Distributes meeting information to ail meeting participants when hosted by the PM

    • Reviews incoming email and composes correspondence on personal initiative, based on knowledge of PM’s views and previous actions on matters. Reviews correspondence and other documentation prepared by others for PM’s signature to ensure compliance with policy and procedures

    • Acts as a liaison between supervisor and subordinate staff members and ensures that effective and timely actions are taken on administrative matters

    • In the absence of the PM, ensures that requests normally routed to the PM are referred to appropriate staff members. Monitors the status of these requests and conducts all necessary follow-through activity

    • Supports and administers all project documentation through the Project Management Information Systems (PMIS), Procore, or other systems, as required. Manages and maintains file structures within PMIS and updates accordingly. Maintains familiarity with all documentation located in PMIS

    • Assists the PM preparing reports, presentations, and other documentation as needed

    • Completes a daily work report that outlines the work completed for the day

    • Other tasks assigned by the PM.

    BACKGROUND AND EXPERIENCE REQUIRED:

    • Bachelor's degree

    • Minimum of 7 years’ experience in office management activities that involve providing administrative / secretarial services within a diverse organizational entity

    • Proven efficiency with Microsoft Office products. Must demonstrate proficiency in communication (both oral and written), clerical skills including; spelling, punctuation, capitalization, and grammar. Must demonstrate proficiency in spreadsheets, presentation, and database software

    • Proofread the work of self and others with a high degree of accuracy

    • Pass a government background check

    • Possess reliable transportation
