    **Staff Assistant I, II, III, Design & Engineering Position Summary: **Directly accountable for providing administrative assistant and support to a technical team of resources that includes one manager, multiple supervisors and associated staff, and serving as the administrative expert for the team and liaison among work groups, departments and division such that a high level of staff and customer support is achieved. All work activities shall be in accordance with corporate and applicable processes, guidelines and standards. Some support activities may require an understanding of simple financial and technical terminology and concepts. This position is expected to respond both during business hours as well as after business hours during emergencies, as needed.

    Staff Assistant I, II, III, Design & Engineering Position Responsibilities:

    • Perform direct administrative assistant and support to a team of resources which includes, but are not limited to, developing presentations and reports; developing and managing spreadsheet and databases; creating and closing service and work orders; reviewing and processing invoices, purchase requisitions and employee expense reports; composing correspondence and other complex documents; scheduling and coordinating meetings and appointments; scribing meeting minutes and action items; and contacting internal and external customer, as needed.
    • Maintain appropriate records for purchase orders, receipts, ProCard statements, staff training and other work group and department documents in accordance with corporate records management and retention policies.
    • Support manager and supervisors in the development, tracking and reporting of department budgets, goals and associated metrics, and resource plans.
    • Ensure that all administrative services and work products meet internal consistency and conformance with corporate standards, and that the appropriate reviews have been obtained.
    • Diagnose administrative problems and improvement opportunities and take the initiative to resolve and mitigate reoccurrence.
    • Execute special projects and analysis which may include the use of simple financial and/or technical concepts and theories.
    • Support the team in process efficiency and continuous improvement activities.
    • Provide administrative assistant in the support of Emergency Storm Restoration and Preparedness associated with major weather events.
    • Ensure a high customer satisfaction result by always keeping the customer needs at the forefront of decision making.
    • Supports divisional administrative team in identifying and influencing implementation of best administrative practices to improve productivity and reduce administrative costs.
    • Maintains effective working relationships with employees and customers at all levels within the corporation. Ensures smooth operations, productive communications, and effective understanding during all interpersonal contacts. Provides current and accurate information to all requestors, courteously and in a timely manner.

    Staff Assistant I Required:

    • High School Diploma or equivalent
    • Three (3) years clerical and/or administrative experience in a technical business environment, providing internal and external customer support.
    • Proficient with PC MS Office Suite (Word, Excel, and PowerPoint).
    • Typing speed of 40 wpm w 95% accuracy
    • Basic math skills
    • Effective written & verbal communication skills
    • Must possess & maintain a valid Florida driver’s license
    • Ability and willingness to work cooperatively with others throughout the organization
    • Ability to handle multiple tasks and assignments effectively and
    • Must be available to respond both during business hours as well as after business hours during emergencies, as needed
    • Must be available during storm seasons to work considerable amounts of overtime

    Staff Assistant I Desired:

    • College or technical courses in related field
    • Experience working in an electric utility environment
    • Ability to prepare statistical/numerical data

    Staff Assistant II Required:

    • Meets requirements at the Staff Assistant I level and
    • Five (5) years of progressively responsible experience in a business/office environment
    • Demonstrated ability to work professionally, independently and as a team.
    • Experience handling complex customer issues and escalations
    • Ability to plan and organize work effectively
    • Must be a self-starter and highly motivated individual
    • Strong organizational skills, analytical skills, problem solving and resolution
    • Ability to prepare statistical/numerical data
    • Willingness to apply the concept of “completed staff work”

    Staff Assistant II Desired:

    • College or technical courses
    • Experience in corporate or divisional computer applications
    • Some technical experience/exposure working in an electrical utility environment
    • Experience working with budgets, goals and metrics, and/or resource plans
    • Exposure to process improvement tools and concepts
    • Experience working on special projects and analysis which include simple financial and/or technical concepts and theories.

    Staff Assistant III Required:

    • Meets requirements at the Staff Assistant II level and
    • Eight (8) years of progressively responsible experience in a business/office environment
    • College or technical courses
    • Experience in corporate or divisional computer applications
    • Some technical experience/exposure working in an electrical utility environment
    • Experience working with budgets, goals and metrics, and/or resource plans
    • Experience working on special projects and analysis which include simple financial and/or technical concepts and theories.

    Staff Assistant III Desired:

    • Associate Business Degree, Secretarial Degree, Certified Professional Secretary (CPS) rating, related degree or related certification
    • Exposure to process improvement tools and concepts
    • Exposure to working in a project management environment

    • Physical Demands : Periods at computer terminal and screen, walking from work station to work station, operating office equipment. May be required to occasionally lift up to 25 pounds.

    STORM DUTY REQUIREMENTS.... Responding to storms will be considered a condition of employment: LCEC provides critical services to our community during an emergency. Employees are required to participate in the response/recovery activities related to emergencies/disasters to maintain service to our LCEC members. Employees are required to work in their normal job duties or other assigned activities. Proper compensation will be made in accordance with the company's guidelines and procedures.
