Essential Duties and Responsibilities
- Receives, processes, and pays vendor invoices by verifying federal ID numbers; scheduling and preparing checks; resolving purchase order, invoice or payment discrepancies; insuring credit is received for outstanding memos; issuing stop-payments
- Verifies approval on all invoices and check requests
- Protects organization's value by keeping information confidential
- Maintains AP files and records by scanning appropriate documentation to Kovis system
- Identifies, communicates, and executes process improvements.
- Prepares banking transactions for review and monitors check processing (positive pay) for discrepancies
- Assists finance with accumulation of documentation for audits
- Serves as Emergency Response Coordinator for the corporate office
- Maintains corporate licenses and permits
- Special AP projects as assigned
Requirements
- Bachelor’s degree strongly preferred including some accounting background
- Proficient computer skills and in-depth MS Office capability
- Strong communication, customer service and teamwork skills
- Ability to effectively manage multiple priorities in a fast-paced environment
- Sound judgment, problem-solving, and decision-making ability
- Ability to handle confidential information in a discreet, professional manner
- Strong attention to detail and accuracy
Duties
- Prepares accounting related entries to various financial registers, journals, and logs
- Assists in the monthly closing process
- Performs monthly bank settlements
- Assists in compilation of monthly financial statement and the quarterly reporting package
- Provides all departments with assistance regarding account charges and other questions affecting financial statements
- Regularly maintains detailed reconciliations of all balance sheet accounts
- Conducts quarterly internal audits, coordinates JSOX audits and related activities
- Serves as liaison with parent company for audit reporting and activities
- Supports Finance with accumulation of audit documentation and annual audit processes
- Prepares analysis schedules of specific accounts for use by management and external auditors at year-end
- Provides detailed analyses and explanations of all transactions
- Maintains accounts payable software and expense reporting software
- Serves as back-up and processes accounts payable for stock and non-stock purchases
- Special projects as assigned
Requirements
- Bachelor’s degree in Accounting or Finance
- 1-2 years of accounting experience preferred
- Proficient with computer systems and MS Office applications; ERP systems experience preferred
- Effective communication and collaboration skills
- Strong problem solving, critical thinking and analytical skills
