Project Coordinator l Cougar USA

Key Responsibilities:
Telephone Operations:
Manage incoming calls.
Direct calls to the appropriate department or staff member.
Facilitate visitor access through designated entrances.
Expedite Back Orders and Update Anticipated Shipping Dates:
Liaise with Cougar purchasing agent and suppliers to confirm shipping schedules.
Regularly update sales orders with confirmed vendor shipping dates.
Inform customers of expected arrival times on-site.
Periodically review and adjust the list of outstanding purchase orders.
Address back orders by providing customers with vendor explanations for delays and facilitating partial shipments upon request.
Maintain consistent communication with customers regarding order status updates.
Coordinate Deliveries (Incoming, Project, and Aftermarket):
Daily review of floor orders.
Arrange deliveries in collaboration with customers.
Ensure all necessary shipment documentation is complete prior to dispatch.
Furnish customers with tracking details.
Generate Item Fulfillments for warehouse staff.
Monitor the status of drop-shipped materials and update Item Fulfillment records accordingly.
Field Electrical/Service:
Serve as a liaison between customers and service teams for startup, field electrical, and field plumbing activities.
Project Closure Documentation:
Dispatch project closure documents to customers, including Installation, Operation, and Maintenance (IOM) manuals, warranty paperwork, and other miscellaneous requests.
