    ABOUT COVEY: Covey is a non-profit organization that serves individuals with disabilities in the greater Fox Valley area.     Our primary programs are Respite Care and Community Engagement. With creativity and compassion for every client who comes through our doors, we partner with case managers, United Way, and local businesses to empower individuals with disabilities ages 18-64.

    JOB SUMMARY: The HR Intern is responsible for assisting and supporting the HR Generalist in all HR functions. Primary focus will include supporting, conducting and growing the organization’s recruiting efforts, assisting with the scheduling and conducting of Covey’s onboarding process, maintaining employee records and confidentiality all while maintaining strong employee relations in a manner that both reflects and supports Covey’s Mission and Values.

    ESSENTIAL DUTIES/RESPONSIBILITIES:

    Recruiting

    1. Assist with designing, implementing and supporting the organization’s overall recruitment strategy with a main focus on locating suitable candidates using a variety of methods (i.e. job boards, job fairs, leveraging community relationships, social media, etc.).

    2. Post, update and remove job ads from job boards, careers pages and social networks. Assist in identifying additional sources to broaden our applicant pool.

    3. Screen resumes and applications for suitable candidates. Schedule and confirm interview details with applicant and hiring manager.

    4. Assist with reference checking and background screening once a contingent offer of employment is made. Assist in scheduling pre-employment physical and drug test. Ensure all pre-employment results are promptly received.

    5. Maintains frequent and on-going communication with qualified applicants. This includes drafting and sending professional regret letters to candidates who were not chosen for interviewing and/or hire.

    On-Boarding

    1. Support onboarding process by preparing necessary materials for new hires. Schedule and coordinate 1st day orientations.

    2. Create a welcoming and supportive atmosphere for new employees.

    3. Ensure completion of all new hire paperwork.

    4. Assist with the coordination and scheduling of initial training and continued onboarding of new hires.

    Retention

    1. Develop and maintain professional, trusted and productive relationships with all Covey employees.

    2. Conduct market research to discover proven methods of retaining employees.

    3. Assist in developing the organization’s retention strategy all with the end goal of increasing employee satisfaction and making us the employer of choice in our field.

    4. Assist in logging and analyzing information received from “stay interviews.”

    Data Tracking and Documentation Management

    1. Maintain accurate information in applicant tracking system, HRIS software and employee files (both electronic and paper). Ensure information is secure and confidential, shared only on a need to know basis.

    2. Follow Covey document retention and destruction policies related to HR and employee documentation.

    Other Duties as Assigned

    1. Participates in internal and external teams/projects as requested.

    QUALIFICATIONS/EDUCATION:

    1. Familiarity with HRIS, ATS and resume databases.

    2. Experience using MS Office.

    3. Must be able to maintain absolute confidentiality of applicant and employee information.

    4. Completion of at least 1 year of study in HR or HR-related education program or comparable experience.

    5. Excellent verbal and written communication skills.

    6. Excellent interpersonal skills and the ability to build strong relationships with internal and external customers.

    7. Capable of working independently and as a part of a team.

    PHYSICAL/MENTAL REQUIREMENTS:

    Most work is performed in a standard professional business office and requires usual standing, sitting, occasional lifting, etc. Must be able to speak English. Reasonable accommodations can be made.
