Covia is looking for a dynamic PAYROLL MANAGER who will have a positive impact on the PAYROLL TEAM team at its OTTAWA, IL location. As a PAYROLL MANAGER, you will effectively and efficiently manage the payroll function for Covia, including timely preparation of accurate payrolls, proper state and federal tax compliance and maintain a high level of employee customer service.
THE SUCCESSFUL INCUMBENT WILL HAVE THE FOLLOWING KEY ACCOUNTABILITIES:
- Manage weekly/semi-monthly disbursement of multi-state payroll, including income withholding orders, benefits and taxes to +2,000 employees consistent with federal and state wage and hour laws
- Ensure processing of new hires, transfers, promotions and terminations in an accurate and timely manner
- Responsible for OH Workers Comp payroll true up/payments and 401(k) match true up
- Creation and maintenance of payroll processes, procedures and recommend/implement improvements as needed to sustain an effective delivery of payroll
- Trouble shoots complex payroll issues associated with payroll processing and taxing
- Manage accrual processing, GL reporting, time and attendance interfacing and special pay processing
- Manage regular preparation of relevant management reports including weekly, monthly, quarterly and year-end reports (i.e. gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc)
- Critically review and analyze current payroll, benefits and tax procedures in order to recommend and implement changes leading to best-practice operations
- Manage and plan workflow and timelines effectively to ensure on-time delivery of department deliverables
- Foster efficiency; continuously seek opportunities to improve processes
- Collaborate with other departments to find solutions that are in the best interest of the company (HR, Benefits, Accounting). Understand interdependencies and functional impacts
- Ensure compliance with stated internal controls and benefit Plan document mandates
- Coordinate and participate in various audits, including external and retirement plan
THE SUCCESSFUL INCUMBENT WILL HAVE THE FOLLOWING MINIMUM QUALIFICATIONS:
- Required – Bachelor’s Degree in accounting, business or human resources or equivalent training and experience in same/similar position. MBA a plus.
- Required – Minimum of 5 years of payroll management experience, preferably with large payrolls (+2,000 employees or more).
- Preferred – certified payroll professional
- Prior payroll system conversion experience a plus
- Current knowledge of payroll procedures and related laws
- Excellent understanding of multi-location payroll and taxes
- Familiarity with Payroll/Time-Keeping/HRIS software packages, including self-service and portal technology
