The Role
The Travel Coordinator is responsible for managing high-volume domestic and international travel for a distributed workforce. This role requires strong attention to detail, comfort with automated booking tools, and the ability to juggle multiple priorities while maintaining compliance, cost control, and a great internal customer experience.
You’ll work closely with internal stakeholders, vendors, and travel partners to ensure seamless execution — often across tight timelines and changing requirements.
Key Responsibilities
Coordinate and manage high-volume corporate travel, including flights, hotels, ground transportation, and transfers (domestic and international)
Utilize and optimize automated booking platforms and corporate travel tools (experience with platforms like Corporate Traveler is a strong plus)
Administer and ensure compliance with company travel policies and procedures
Track travel spend, identify cost-saving opportunities, and monitor unused tickets, exchanges, and refunds
Maintain accurate and up-to-date travel records and documentation across internal systems
Coordinate travel documentation requirements for international travel, ensuring accuracy and timeliness
Act as the point person for resolving travel disruptions and issues from start to finish
Support vendor relationships and assist with travel program improvements and contract management
Assist with corporate card reconciliation by providing timely travel receipts and documentation
Participate in audits and internal reviews as required
Contribute to continuous improvement initiatives, helping streamline processes and enhance the travel experience
Support onboarding by assisting with travel-related orientations or guidance when needed
Actively promote and model the company’s culture and values with internal teams and external partners
What We’re Looking For
3–5+ years of experience in corporate travel coordination or travel management
Proven experience booking and managing high-volume, complex travel
Strong understanding of domestic and international ticketing rules, fares, and reservation processes
Experience working with automated travel platforms and corporate travel management companies
Comfortable operating in a fast-moving environment with changing priorities
Highly organized, detail-oriented, and proactive problem solver
Strong communication skills and a service-oriented mindset
Experience supporting a distributed or field-based workforce is a plus
Corporate housing experience is a plus
Education
Post-secondary education preferred
Relevant experience may substitute for formal education
