    Description:

    The Executive Assistant (EA) will manage and maintain seven Executive's busy and complex calendars; keep the Executive's well-informed on assignments, projects and important matters; respond to inquiries and complaints; and represent the Executive's in a diplomatic and professional manner. Additionally, the Executive Assistant is responsible for ensuring the efficiency and effectiveness of the day-to-day operations of the Executives. The ideal candidate has experience providing high-level support to multiple senior executives, and this person has the ability to handle complex and highly sensitive matters with tact and is able to prioritize and manage multiple tasks in a fast-paced setting.

    Essential Duties & Responsibilities:

    Manage the calendars and book frequent travel for seven high level Executives

    Schedule daily agenda and internal bi-weekly office meeting; record minutes for all Executive meetings.

    Facilitate clear communication between the Executives and team members with a high degree of confidentiality and diplomacy.

    Track deadlines and follow-up on approvals regarding all Executives

    Some administrative tasks including but not limited to: email, filing, and other general office tasks; create and maintain an inventory of office and promotional supplies

    Maintain confidentiality of highly sensitive information

    Composes and prepares memoranda, correspondence, agenda items, reports, contracts, presentations, spreadsheets, and other documents often of a highly sensitive and confidential nature;

    Proofreads and reviews the work product of typed and other materials for accuracy and completeness; ensures materials, reports and documents for Executive's signature are accurate and complete; responds independently to correspondence and email inquiries regarding a variety of department matters

    Acts as liaison in coordinating matters between the Executives and other department heads, managers and staff, representatives of outside agencies, etc.

    Qualifications:

    3-5 years as Executive Assistant / Office Manager

    Attention to detail - Focusing on the details of work content, work steps and final work product.

    Handling Conflict - Dealing with sensitive and complex issues, situations and concerned people.

    Informing - Proactively obtaining and sharing information.

    Customer Focus - Engaging and treating internal and external clients with courtesy, sensitivity, and respect.

    Oral communication – Engaging effectively in dialogue.

    Self-Management– Showing personal organizational, self-discipline, and dependability.

    Face-to-face customer service experience.

    Strong interpersonal and communication skills, including proper telephone etiquette

    Possesses strong organizational skills to execute and prioritize multiple tasks

    Understands basic record keeping practices and procedures

    Experience operating office equipment such as computers, calculators, and photocopiers. Must be computer proficient with basic skills in Word and Excel

    Certifications / Educational Requirements:

    Bachelor's Degree preferred but not required

    Physical Requirements:

    Ability to sit for long periods of time

    Ability to access and operate Company computer system including prepare documents, enter data into computer system, read reports from a computer data base or email system

    Work Environment:

    Casual office

    The noise level in the environment can be occasionally loud

    Must be able to travel by car and airplane up to 10% of the time
